Job description

Operations Support Specialist
The Janel Group Operations Support Specialist provides administrative and operational support to branch leadership and operations teams across the multiple offices. This role is responsible for monitoring high-volume communications, organizing and processing shipment documentation, maintaining accurate digital records, and supporting compliance-related filings. Working closely with internal stakeholders and clients, the Operations Support Specialist helps ensure timely, detail-oriented execution of daily tasks while identifying opportunities to streamline and improve processes.
PRIMARY RESPONSIBILITIES
  • Monitor and maintain multiple high-volume email inboxes and operating systems to ensure timely follow-up and task completion.

  • Prioritize and organize competing tasks for multiple locations with minimal supervision or assistance.

  • Review, process, and upload documents received via email into internal systems in accordance with established procedures.

  • Create and maintain digital files; assign and route documentation to branch operations staff as needed.

  • Process Importer Security Filings (ISFs) and transmit required information to U.S. Customs and Border Protection.

  • Communicate regularly via email with clients and partners to obtain documents and confirm shipment details.

  • Manage general administrative activities with strong attention to detail, including data entry, order tracking, customer follow-up, and preparation of shipping documentation.

  • Collaborate with team members to deliver strong customer service and support continuous improvement through streamlining, refining, and/or automating current processes.

  • Provide administrative support to branch managers and supervisors.

QUALIFICATIONS
  • High school diploma or equivalent required; some college or logistics-related coursework preferred.

  • 1+ year of relevant experience as an Administrative Assistant, Office Administrator, or related administrative role, required.

  • Strong working knowledge of MS Office products (Word, Excel, PowerPoint, Outlook, etc.), required.

  • Strong multi-tasking and prioritization skills with little to no supervision, required.

  • Organizational skills and strong attention to detail, required.

  • Excellent written communication skills, required.

  • Working knowledge of logistics and international freight forwarding documentation, preferred.

  • Familiarity with international and domestic transportation processes, preferred.

  • Experience with CargoWise software, a plus.
