What are IP Assistants?

IP Assistants, or Intellectual Property Assistants, are professionals who support IP attorneys and agents in managing intellectual property matters such as patents, trademarks, and copyrights. Gaining experience through internships or certifications in patent or trademark procedures can enhance prospects, and proficiency with legal research tools is often required.

Can I make 6 figures as a paralegal?

Ip assistants, including paralegals, typically do not earn six-figure salaries, as their median pay is significantly lower. However, experienced paralegals working in specialized fields, large firms, or with advanced certifications can sometimes approach or exceed six-figure earnings, especially with overtime or managerial roles.

Are IP lawyers in high demand?

As an IP Assistant, you will often be responsible for preparing and filing patent and trademark applications, managing deadlines, and maintaining accurate records in intellectual property management systems. You'll collaborate closely with attorneys to ensure all documentation complies with legal requirements and assist with client correspondence. Attention to detail and strong organizational skills are essential, as you'll be handling confidential materials and tracking multiple cases simultaneously.

Job description

The Boston office of Nelson Mullins is seeking an experienced Intellectual Property (IP) Assistant to support a team of IP Attorneys and Technical Specialist within a fast-paced Life Sciences practice. This role provides both practice-specific and administrative support, with a strong focus on patent prosecution, docket management, and U.S. Patent and Trademark Office (USPTO) filings. The IP Assistant reports to the designated IP Coordinator for the Life Sciences team and is directly responsible for all USPTO filings, as well as the overall coordination of docketing and administrative needs for assigned timekeepers. Patent prosecution work is divided among the IP Assistant team on a client-by-client basis, and this position requires a high level of organization, initiative, and independence.

Prepare and file complex USPTO submissions, coordinating attorney review, IP Quality Assurance, final filings, and client reporting. Correspond with clients, foreign counsel, and the USPTO regarding patent actions, filing status, and discrepancies, and coordinate with the Foreign Filing Department to support foreign and international filings. Review incoming USPTO correspondence and manage non-substantive U.S. docket items, including formalities, assignments, transfers of rights, and client status updates. Coordinate preparation of Information Disclosure Statements, patent drawings, and sequence listings with internal teams and external vendors, and prepare draft response documents and correspondence for attorney completion. Communicate case updates to internal departments, review docket clearance reports to ensure deadlines are met, organize files for transfers, and stay current on USPTO rules and procedures. Provide comprehensive administrative and billing support to attorneys, respond to client billing inquiries, and assist with client reports and research projects.

Requires a minimum of five years of patent prosecution experience in biotechnology or the life sciences, preferably in a high-volume law firm environment. The ideal candidate demonstrates strong organizational and prioritization skills with exceptional attention to detail, the ability to work independently, exercise sound judgment, and manage competing deadlines effectively. Success in this role also requires remaining calm and productive under pressure, along with a team-oriented mindset and strong communication skills.

At Nelson Mullins, we are dedicated to transparent and fair compensation practices. Pay for this position is determined by factors such as experience, skills, and location.

Salary/ Wage Range - $74,600- $85,000 annually. In addition to base pay, employees may be eligible for merit-based raises and benefits such as healthcare, retirement plans and paid time off.

With more than 1,000 attorneys, policy advisers, e-discovery professionals, and other business professionals across offices in California, Colorado, the District of Columbia, Florida, Georgia, Illinois, Maryland, Massachusetts, New York, Pennsylvania, Tennessee, Texas, West Virginia, and throughout North Carolina and South Carolina, Nelson Mullins has strong roots in the business community and an appreciation for new directions in the business world.
