We are looking for a highly organized and detail-oriented Implementation Specialist to support our growing implementation team and help drive the success of our clients.
Role Overview:
As an Implementation Specialist at Cotribute, you will support our Project Manager in coordinating multiple client implementations, ensuring smooth execution and exceptional customer experience. This is an excellent opportunity for someone early in their career who is passionate about project management, financial technology, and building strong client relationships. You will be responsible for managing project timelines, tracking deliverables, facilitating communication between stakeholders, and maintaining comprehensive project documentation. Key Responsibilities:
  • Coordinate day-to-day project activities across multiple client implementations, ensuring tasks are completed on time and stakeholders are aligned.
  • Schedule and facilitate project meetings with clients, internal teams, and third-party vendors, preparing agendas and capturing detailed meeting notes and action items.
  • Track project milestones, deliverables, and dependencies using project management tools such as Smartsheet, JIRA, or similar platforms.
  • Maintain accurate and up-to-date project documentation, including status reports, implementation guides, process workflows, and technical specifications.
  • Serve as a secondary point of contact for clients, responding to inquiries, providing status updates, and escalating issues to the Project Manager as needed.
  • Collaborate with cross-functional teams including engineering, product, operations, and client success to ensure seamless project execution.
  • Monitor project risks and proactively communicate potential issues or delays to the Project Manager and stakeholders.
  • Assist in managing project scope changes, tracking budget impacts, and updating project plans accordingly.
  • Support the creation and maintenance of knowledge base articles, training materials, and standard operating procedures for the implementation team.
  • Participate in internal team meetings, contributing ideas for process improvements and increased operational efficiency.
  • Provide administrative support for the Project Manager, including preparing reports, organizing project files, and coordinating resource allocation.
  • Learn and develop proficiency with Cotribute's platform, core banking integrations, and the technical aspects of financial services implementations.

Qualifications:
  • 1-2 years of professional experience in project coordination, implementation, client services, or a related role (or equivalent internship/academic project experience for recent graduates).
  • Bachelor's degree in Business, Information Systems, Finance, or a related field preferred (or equivalent practical experience).
  • Exceptional organizational skills with meticulous attention to detail and the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and internal stakeholders at all levels.
  • Proficiency with Microsoft Office Suite and Google Workspace; experience with project management tools (Smartsheet, JIRA, Confluence, Asana) is a plus.
  • Technical aptitude and comfort learning new software platforms and systems; prior exposure to financial services or SaaS implementations is advantageous but not required.
  • Proactive, self-motivated work style with a strong sense of ownership and accountability for deliverables.
  • Ability to work independently in a remote environment while maintaining strong collaboration with team members.
