Job description

Project Coordinator (Hybrid)

The Project Coordinator administers and organizes project activities in cooperation with project managers.

Your role:

Document Management & Quality Control

  • Process incoming Requests for Information (RFIs), drawing submittals, and change requests. Distribute to the appropriate internal team members, track progress, document responses, and ensure timely communication with relevant external parties.

  • Prepare and submit required electronic documentation to state and city authorities, ensuring compliance with jurisdictional requirements.

  • Conduct thorough QA/QC reviews of project drawings, verifying revisions, title block accuracy, and consistency across disciplines. Identify discrepancies and coordinate necessary corrections.

  • Oversee the distribution and posting of VAA-issued drawings to ensure all stakeholders have access to the latest project documentation.

  • Create, maintain, and update the project Stickset and drawing log, ensuring version control and easy accessibility for project teams.

Client & Team Coordination

  • Attend internal project and client meetings throughout the design and construction phases. Provide documentation support, track action items, and supply status updates.

  • Participate in client kickoff meetings, assisting with initial documentation, expectations, and workflow coordination.

  • Establish and maintain document transfer protocols, ensuring seamless communication and version tracking between clients, contractors, and the internal project team.

  • Assemble and format project specifications with attention to clarity, compliance, and accuracy. Review project proposals to ensure proper formatting, consistency, and content alignment.

Your resume must include:

  • High school diploma or GED.

  • Minimum 3 years of related experience.

  • Experience with document control, set- up through audit.

  • General knowledge of Project Flow.

Starting Hourly Range: $25.00 - $30.00. A variety of factors are considered when determining an offer including, but not limited to, market data, geographic location, experience, and specialized skills.
