Job Title: Intellectual Property Legal Assistant

Location (City, State): Dallas, TX

Work Schedule: M-F, 9 -6

Type of Employment: Direct Hire

Compensation: $85,000 - $95,000

Job Description

Addison Group is partnering with our client to identify an experienced Patent Prosecution Legal Assistant / IP Docketing Specialist. This role supports intellectual property attorneys and legal teams by managing patent prosecution workflows, maintaining docket accuracy, coordinating administrative activities, and ensuring critical deadlines are met. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and has prior experience supporting U.S. patent prosecution matters.

 

Key Responsibilities

  • Review and process incoming intellectual property correspondence, accurately updating docket records and tracking key deadlines within the firm's docketing system.
  • Generate and distribute docket reports, monitor upcoming deadlines, and assist attorneys and staff with docket-related inquiries.
  • Coordinate with legal professionals and internal departments to support daily patent prosecution activities and workflow management.
  • Manage attorney administrative support functions, including travel arrangements, expense submissions, reimbursement requests, and related documentation.
  • Open and maintain client matters, communicate professionally with external contacts, and foster positive working relationships with clients and vendors.
  • Assist with time entry, billing support, and other administrative tasks related to client account management.
  • Monitor and maintain docket accuracy to ensure deadlines and filing requirements are consistently met.
  • Participate in ongoing training and professional development related to intellectual property law, patent prosecution, and docketing best practices.

Qualifications

  • Prior experience supporting U.S. patent prosecution is required.
  • Exposure to foreign patent prosecution and/or trademark prosecution is preferred but not required.
  • Demonstrated ability to work accurately in a deadline-driven environment while managing multiple priorities.
  • Strong problem-solving skills with the ability to work independently and proactively address business needs.
  • Excellent organizational, communication, and time-management abilities.
  • Proficiency with docketing software such as AppColl or similar systems.
  • Advanced skills in Microsoft 365 applications and Adobe Acrobat; experience with document management platforms such as iManage is preferred.
  • Ability to maintain confidentiality and handle sensitive legal information with professionalism and discretion.
