Job Overview:
We are seeking a detail-oriented and organized Legal Support Specialist to join our team full-time. This role provides critical administrative and support to our attorneys and paralegals, ensuring seamless operations and exceptional client service in trademark and patent matters. The ideal candidate will have IP legal support experience along with a genuine interest in and respect for our clients and creatively solve problems.
Key Responsibilities:
  • Conduct internal conflicts checks and ensure compliance.
  • Set up and maintain accurate client and matter records.
  • Organize and save files and correspondence.
  • Manage secure file transfers.
  • Review documents for accuracy and report same to the client.
  • Track case files, deadlines, and client correspondence.
  • Maintain client databases and IP portfolios.
  • Coordinate with clients for documentation and signatures.
  • File and retrieve information using Patent Center, WIPO, and TSDR.
  • Generate reports and documents from the patent docketing database.
  • Process requests from the shared email inbox.
  • Support IP transfers and record assignments.
  • Assist with trademark and patent filings, including USPTO submissions.
  • Communicate with inside counsel and staff on IP related matters.
  • Complete other legal support projects as assigned.

Qualifications:
  • Associate or Bachelor's degree in legal studies, paralegal studies, or related field (preferred).
  • 1โ€“3 yearsโ€™ experience in a law firm or IP-related role (trademark/patent experience a plus).
  • Proficiency with USPTO systems (Patent Center, TEAS, TESS) and legal software (e.g., AppColl, CPI).
  • Strong organizational skills; able to manage multiple deadlines.
  • Excellent written and verbal communication skills.
  • Familiarity with Microsoft Office and document management systems.
  • Detail-oriented, proactive, and team-oriented.
  • Knowledge of IP law fundamentals preferred.
  • Genuine interest in supporting clients and contributing to a collaborative team.
