Job description
The University of Notre Dame is more than a workplace; it is a vibrant, mission-driven community where every employee is valued and supported. Rooted in a tradition of excellence and inspired by our Catholic character, Notre Dame is committed to fostering an environment of care that nurtures the whole person-mind, body, and spirit. Here, you will find a deep sense of belonging, a culture that prioritizes well-being, and the opportunity to grow your career while being a force for good in the world. Whether contributing to world-class research, shaping the student experience, or supporting the University's mission in other ways, you will be part of a dedicated team working to make a meaningful impact on campus and beyond. At Notre Dame, your work matters, and so do you!
The Research Integrity Program Coordinator supports the administration and coordination of the University's Research Integrity Program by facilitating regulatory review processes and promoting compliance with federal regulations, sponsor requirements, and institutional policies governing research. This position serves as a primary resource for investigators, research staff, committee members, institutional leadership, and research sponsors by providing guidance throughout the research compliance lifecycle.
The coordinator is responsible for assisting investigators with protocol preparation and submission, coordinating committee review activities, maintaining regulatory documentation, interpreting policies and procedures, and helping ensure the efficient operation of Research Integrity programs. This role requires excellent customer service, strong organizational skills, and the ability to communicate complex regulatory requirements to a broad research community.
This position is structured as a career progression opportunity. Candidates at varying stages of their careers are encouraged to apply. Placement at Level I, II, or III will be based on education, experience, professional certifications, and demonstrated expertise.
Key responsibilities
- Coordinate the daily operations of one or more Research Integrity programs, ensuring compliance with institutional policies and applicable federal, state, and sponsor regulations.
- Serve as a primary point of contact for investigators, research personnel, committee members, institutional administrators, and research sponsors regarding research compliance processes and requirements.
- Assist investigators with the preparation, submission, and management of research protocols, amendments, continuing reviews, reportable events, and other regulatory submissions.
- Review submissions for completeness, accuracy, and compliance prior to committee review.
- Coordinate committee meetings by preparing agendas, distributing review materials, documenting committee actions, and communicating determinations to investigators.
- Maintain complete and accurate regulatory records using electronic research administration (eRA) systems and other web-based applications.
- Interpret and communicate institutional policies, federal regulations, and ethical standards related to research compliance.
- Identify process improvements and contribute to initiatives that enhance operational efficiency and customer service.
- Participate in educational outreach and training efforts for faculty, staff, students, and research personnel.
- Collaborate with internal and external stakeholders to support the successful administration of Research Integrity programs.
- Perform other duties as assigned.
- Bachelor's degree required.
- Degree in life sciences, biomedical sciences, healthcare, public health, research administration, or a related discipline preferred.
- Minimum of 1 year of experience working in a research environment.
- Previous experience supporting research compliance, research administration, or regulatory activities is preferred.
- Excellent verbal and written communication skills.
- Ability to communicate complex regulatory information to a diverse audience.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple projects while meeting deadlines.
- Demonstrated customer service and relationship-building skills.
- Ability to learn and effectively utilize electronic research administration systems and other web-based applications.
- Proficiency with Microsoft Office Suite or comparable productivity software.
- Ability to interpret policies and procedures and apply sound judgment when resolving issues.
- Ability to work both independently and collaboratively within a team environment.
Preferred Qualifications
- Experience supporting Institutional Review Boards (IRB), Institutional Animal Care and Use Committees (IACUC), Institutional Biosafety Committees (IBC), or other Research Integrity functions.
- Experience working in higher education, academic medical centers, healthcare organizations, or research institutions.
- Familiarity with federal regulations governing research involving human participants, animal research, biosafety, or research compliance.
- Experience with electronic research administration (eRA) systems.
- Certified IRB Professional (CIP) or Certified Professional in IACUC Administration
Position Leveling: This position is posted as a multi-level opportunity, with placement at the Research Integrity Program Coordinator I, II, or III level determined by the selected candidate's education, experience, certifications, and demonstrated expertise. Level I is intended for professionals with foundational experience in a research environment and developing knowledge of research compliance. Level II is designed for individuals with significant experience supporting research administration and regulatory oversight, including the ability to independently manage complex compliance activities and improve operational processes. Level III is reserved for seasoned research integrity professionals who possess advanced regulatory expertise, active professional certification (CIP or CPIA), and demonstrated leadership in mentoring staff, enhancing policies and procedures, supporting compliance education, and advancing program quality and effectiveness.(CPIA), or eligibility to obtain certification.
