Role Description

We are seeking an Intake Specialist to join our expanding national practice. This position is based in Lawrence, Kansas, and offers a flexible four-day workweek designed to support work-life balance and long-term sustainability in legal practice.


Responsibilities

The primary responsibility is to assist in setting up and managing the onboarding processes for new and prospective clients who are a good fit for our law firm. The position reports to the Client Intake manager.

  • Answering calls, emails, and web inquiries from potential clients
  • Gathering case details, timelines, and relevant documentation
  • Send engagement letters, fee agreements, and initial questionnaires to promising leads, and follow up to ensure they are signed and returned
  • Collecting client data and entering it into the case management system
  • Following up with potential clients
  • Explaining firm processes and fees
  • Escalating urgent matters to attorneys
  • Preparing complete intake packets
  • Sending out and collecting necessary initial paperwork


Qualifications

Candidates must have a bachelor's degree from an accredited university or college and be conversationally fluent in Spanish.

  • Customer service skills to make prospective clients feel welcome
  • Conversational Spanish: interviewing clients and correspondence
  • High-level listening skills to gain a thorough understanding of claims
  • Demonstrated interviewing skills to know which questions to ask to gather more information
  • Strong written and oral communication skills to explain next steps and compose client profiles for attorneys
  • Ability to proofread typed material for grammatical, typographical, or spelling errors
  • Basic understanding of various legal specialties to evaluate the suitability of your firm and recommend other firms as needed
  • Organizational skills to keep track of prospective clients’ contact and case information
  • Multitasking ability to move quickly from one inquiry to another
  • Knowledge of case management, word processing, spreadsheet, email, and database software
  • Must work well in a team-oriented environment


Experience in intake with law firms is welcome but not required. We especially encourage applicants from backgrounds historically underrepresented in the legal profession to apply.
