Job description

Are you interested in joining a Fortune 500 company where you can strive in a growing industry? We are hiring for a Sales Assistant to join a busy insurance office in Orlando, FL near zip 32810! This position will require working on-site 5 days a week.

Monday to Friday 8:00a-5:00pm

$55,000 to $58,000 depending on experience

Essential Job Functions:

  1. Quote Management & Sales Support
    • Manage and track all quote activity from request through completion.
    • Coordinate with brokers, sales representatives, underwriting, and internal teams to ensure accurate and timely quote delivery.
    • Monitor quote pipeline, provide status updates, and maintain strong broker and partner relationships.
    • Serve as the primary point of contact for quote-related inquiries and support.
  2. Reporting & Data Analysis
    • Create, maintain, and analyze reports to monitor quote volume, sales activity, renewal opportunities, and business performance.
    • Utilize advanced Microsoft Excel functions including VLOOKUP, XLOOKUP, INDEX/MATCH, Pivot Tables, Pivot Charts, Power Query, Conditional Formatting, IF statements, SUMIFS, COUNTIFS, data validation, and advanced formulas.
    • Perform data reconciliation, trend analysis, forecasting, and quality audits to ensure reporting accuracy.
    • Develop and maintain spreadsheets, dashboards, and performance metrics for leadership and sales teams.
  3. Proposal Preparation
    • Review incoming proposal requests from brokers, consultants, and agents for completeness and accuracy.
    • Gather required information, collaborate with underwriting and sales teams to obtain rates, and prepare professional proposal packages.
    • Follow up on missing information and ensure deadlines are met.
  4. Administrative & Operational Support
    • Provide administrative support to the sales team, including document preparation, file management, meeting coordination, and scheduling.
    • Maintain accurate records, databases, and tracking systems.
    • Process service requests, policy changes, and other administrative transactions while ensuring compliance and accuracy.
  5. Implementation & Enrollment Support
    • Assist with the onboarding and implementation process for sold cases.
    • Coordinate required documentation, verify accuracy, and support implementation teams as needed.
    • Ensure all enrollment and case installation information is complete and submitted on time.

Required Skills

  • Strong mathematical aptitude and analytical problem-solving abilities.
  • Proficiency in Microsoft Excel, including VLOOKUP, XLOOKUP, INDEX/MATCH, Pivot Tables, Power Query, data analysis, dashboard creation, formula auditing, trend reporting, and large data set management.
  • Excellent attention to detail and accuracy in reporting and data management.
  • Strong organizational, communication, and time-management skills.
