Job Description Summary

Hunt Electric is seeking a Legal Support Specialist to join our Legal Team. This role involves providing comprehensive administrative and operational support to the Legal Department, specifically assisting the General Counsel. The position requires a blend of administrative skills and legal operations expertise to enhance the efficiency and effectiveness of our legal processes.

Job Description:

Role & Responsibilities

  • Administrative Support:
  • Schedule and maintain the General Counsel's calendar, including travel coordination.
  • Schedule and track continuous legal education requirements and status for attorney licensing.
  • Coordinate internal and external meetings, including scheduling, meal orders, meeting minutes, and follow-up.
  • Complete expense reports and/or credit card reconciliation.
  • Review legal support services invoices and categorize same for General Ledger input with Finance Department.
  • Collect and communicate monthly financial reports and metrics regarding legal support services spending against budget.
  • Organize, maintain, and retrieve legal and corporate record files and reports.
  • Answer, filter and direct phone calls and visitors as necessary.
  • Open, sort, prioritize and distribute incoming mail, faxes, emails and other correspondence.
  • Legal Operations:
  • Track and provide feedback and recommendations on standard operating procedures and organizational continuous improvement efforts, including use of AI tools and evaluation of other technologies to accomplish the same.
  • Assist with processes for contract document management and legal hold systems.
  • Troubleshoot issues with legal systems and coordinate with IT and vendors for resolution.
  • Support improvement of Legal Department systems and processes by developing and maintaining internal resources
  • Partner with other departments within Hunt Electric to develop an efficient, comprehensive legal support system that identifies and mitigates risk and supports operations.
  • Support the administration and integration of new companies as they are integrated into Hunt Electric.
  • Other duties as assigned.

Qualifications and Education Requirements

  • High school diploma or equivalent required.
  • Associate or bachelor's degree in Business Administration or related field preferred.
  • Minimum of five years of work experience in a law firm, in-house legal department, or comparable experience.
  • Proficient in Microsoft Office Suite, with intermediate skills in Excel.
  • Strong organizational, multi-tasking, and customer service skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to manage multiple projects.
  • Ability to meet deadlines and adapt to changes in priorities.

Physical Requirements

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.
  • This position is generally sedentary. Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch or crawl.
  • This position requires the ability to lift files, open file cabinets, and bend or stand as necessary.
  • This position may occasionally lift up to 10 pounds.
  • Operates in a demanding, fast-paced, people-oriented construction environment with frequent changes and interruptions, and multiple project assignments.
