Installation Coordinator

Location: Chesapeake, VA (Onsite; limited remote flexibility in the future)
Duration: Long-term contract (W-2)
Pay Rate: $21.00/hour

Job Summary

The Installation Coordinator is responsible for coordinating, scheduling, and dispatching technicians to support service and installation activities. This role ensures efficient technician utilization, accurate work order management, timely customer communication, and proper documentation. The ideal candidate has strong scheduling/dispatch experience, is highly organized, and is proficient in Microsoft Excel.

Key Responsibilities

  • Schedule service and installation appointments to maximize technician productivity

  • Dispatch technicians and subcontractors as required

  • Create, manage, and close work orders; review notes and follow up on open items

  • Communicate status updates to customers and internal stakeholders

  • Coordinate scheduling, customer notifications, and equipment procurement

  • Maintain accurate appointment calendars and daily operational reports

  • Complete contract, QC, and required documentation within defined timelines

  • Order, receive, track, and issue materials and equipment to technicians

  • Conduct and maintain physical inventory records

  • Act as a liaison between Sales, Project Managers, and field technicians

  • Ensure all technician paperwork is completed accurately and on time

  • Perform additional administrative or coordination duties as assigned

Required Qualifications

  • 1–3 years of experience in a coordination, dispatching, or scheduling role

  • Strong experience with dispatching and appointment scheduling

  • Proficiency in Microsoft Excel (tracking, reporting, data management)

  • Excellent organizational, time management, and attention-to-detail skills

  • Strong written and verbal communication skills
