Installation Coordinator - Admin Assistant | $19.00 - $24.00 per hour, depending on experience

Work Schedule: 7:00am to 5:00pm | fluctuating hours during this time | Monday to Friday

Position Overview:

This position manages day-to-day scheduling for HVAC and Pluming departments ensuring jobs are ready for installation. Responsible for the creation of department project files, contacting customers regarding scheduling issues, scheduling subcontractors, and inspections. Coordinating communication between installers, field supervisors, customers, vendors and the office.

Essential Job Duties:

  • Managing day-to-day scheduling for construction installations, both plumbing and HVAC
  • Create and update project packets such as contracts, submittals, change orders and invoices, etc.
  • Contacting customers regarding scheduling, and any changes
  • Scheduling subcontractors and inspections as needed
  • Ordering materials, system equipment, and accessories for jobs
  • Complete all invoicing / AIA for construction projects.
  • Filing manufacturer warranty registrations, extended warranty, rebates, promotions
  • Answer and schedule incoming sales appointments as needed.
  • Providing excellent customer service
  • Assist department managers and act as liaison between customer and managers
  • Daily working in Service Titan, our cloud-based CRM
  • Other duties as assigned

Qualifications / Experience:

  • 2 + years related experience and/or training in customer service, scheduling, project coordination, or equivalent combination of education and experience
  • Advanced customer service skills
  • Scheduling experience
  • Ability to cultivate and maintain strong relationships with clients and technicians
  • Knowledge and experience of MS Outlook and MS Office Suite
  • Strong organizational skills and high attention to detail
  • Plumbing, HVAC, Electrical, construction, or similar industry experienced desired
  • AR / invoicing experience desired
  • High school diploma or equivalent
