HVAC Coordinator

Tuscan Electric, Heating, & Plumbing is growing, and we are looking for an organized and motivated HVAC Coordinator to help lead, organize, and support our HVAC department.

This role is a great fit for someone with strong scheduling, communication, and coordination skills who has some understanding of HVAC systems, service work, and department operations. The HVAC Coordinator will help keep jobs moving, support technicians, communicate with customers, and make sure work is completed safely, efficiently, and to Tuscan’s standards.

Position Overview

The HVAC Coordinator will serve as a key connection between customers, technicians, office staff, vendors, and management. This person will help oversee daily HVAC operations, coordinate service and installation schedules, support the field team, and help improve overall department performance.

We are looking for someone who communicates well, stays organized, understands the basics of HVAC service and installation, and takes pride in helping a growing team succeed. HVAC office experience is preferred.

Key Responsibilities

  • Coordinate daily HVAC service, maintenance, and installation schedules.
  • Dispatch technicians and adjust schedules based on job priority, skill set, customer needs, and workload.
  • Communicate with customers regarding scheduling, job status, estimates, repairs, and follow-up needs.
  • Support technicians with job planning, customer communication, and equipment needs.
  • Review job notes, photos, estimates, parts lists, invoices, and completed work orders for accuracy.
  • Help ensure technicians follow company procedures, safety standards, quality expectations, and customer service standards.
  • Assist with ordering equipment, parts, and materials while coordinating with vendors and supply houses.
  • Track jobs from initial call through completion, billing, and customer follow-up.
  • Monitor job progress, callbacks, customer concerns, technician productivity, and profitability.
  • Work with management to improve processes, training, scheduling, and department performance.
  • Assist with warranty claims, equipment registrations, permits, and inspection scheduling when needed.
  • Maintain strong communication between the office, field team, customers, vendors, and leadership.
