What is an inside account manager?

An Inside Account Manager is a sales professional who manages client accounts from within the office rather than meeting clients face-to-face. They are responsible for building and maintaining relationships with customers, identifying their needs, and offering solutions or products that fit those needs. Inside Account Managers often use phone calls, emails, and virtual meetings to communicate with clients, handle inquiries, and close sales. Their goal is to increase customer satisfaction and drive revenue growth for their company.

How does an inside account manager typically collaborate with outside sales teams to achieve sales targets?

Inside Account Managers often work closely with outside sales representatives to coordinate strategies and ensure a seamless customer experience. While inside managers handle remote communications, follow-ups, and account maintenance, they regularly share insights and leads with their field counterparts. This collaboration helps align goals, prevents overlaps, and maximizes opportunities for upselling or cross-selling. Effective teamwork and regular communication between the two roles are key to meeting shared revenue goals and building strong client relationships.

What are the key skills and qualifications needed to thrive as an inside account manager, and why are they important?

To thrive as an Inside Account Manager, you need strong sales acumen, relationship management skills, and a background in business or a related field. Proficiency with CRM systems like Salesforce, sales enablement tools, and sometimes industry-specific certifications are commonly required. Exceptional communication, problem-solving, and organizational skills help build client trust and manage multiple accounts efficiently. These abilities are crucial for driving revenue growth, maintaining client satisfaction, and achieving sales targets in a competitive environment.

Position Summary

The Inside Sales Account Manager plays a vital role in supporting the Outside Sales Representatives by managing quotes, tracking orders, processing warranties, and coordinating between customers, warehouse, and operations.

This position combines sales, logistics coordination, and administrative support, ensuring smooth order flow and excellent customer service from quote to delivery.

Key Responsibilities

Sales & Customer Support

  • Proactively and regularly reach out to and engage customers, helping grow the book of business and achieve consistent sales growth for the assigned Outside Sales Representative.
  • Prepare and process customer quotes, sales orders, and returns accurately and efficiently.
  • Support Outside Sales Representatives with customer inquiries, pricing requests, and product availability.
  • Review and monitor open orders, reserved orders, and pending quotes daily to ensure timely processing and follow-ups.
  • Research products and assist with sourcing non-stock or special-order items.
  • Process warranty claims by completing all required documentation and coordinating with vendors or manufacturers for resolution.
  • Maintain and update customer pricing profiles in coordination with the Outside Sales Representatives and Sales Manager.
  • Set up and maintain correct pricing for both existing and new accounts, ensuring customer discounts are applied accurately and in line with approved pricing guidelines.
  • Promote current company promotions and special offers to customers to help drive additional sales.
  • Develop and maintain strong professional relationships with customers by providing timely and accurate information.
  • Monitor and respond to emails in the assigned Outside Sales Representative’s inbox, flagging urgent customer requests ensuring timely follow-up.

Account Growth & Performance Management

  • Reach out proactively to customers whose purchasing has slowed or lapsed, working to re-engage them and restore regular buying activity.
  • Identify underperforming or at-risk accounts based on order trends and escalate to the assigned Outside Sales Representative with a recommended course of action.
  • Coordinate with the assigned Outside Sales Representative on any pricing concessions or promotions offered to win back lapsed or at-risk customers; all such offers must be approved by the Outside Sales Representative.
  • Monitor CRM/ERP data for assigned accounts to track sales performance — quote conversion rate, order frequency, average order value, and sales growth — and report trends regularly to the Outside Sales Representative and Sales Manager.
  • Maintain full CRM hygiene: log customer interactions, update account status, and ensure no account goes untouched for an extended period.
  • Identify upsell and cross-sell opportunities based on customer purchase history and product needs.

Order & Inventory Coordination

  • Coordinate with warehouse and operations staff to ensure orders are pulled, packed, and delivered on schedule.
  • Track and confirm delivery status for priority or special orders, keeping both the customer and Outside Sales Representative informed.
  • Verify inventory levels, identify shortages, and communicate restocking needs to management.
  • Assist in transferring inventory between branches to fulfill customer orders.
  • Track fulfillment accuracy and on-time delivery rate for assigned accounts, escalating recurring issues to management.

Administrative & Reporting

  • Enter and maintain accurate order data in the ERP or CRM system.
  • Keep detailed records of open quotes, warranty claims, and customer communications.
  • Provide weekly summary reports to the assigned Outside Sales Representative on active quotes, open orders, and pending issues.

Safety & Compliance

  • Follow all company safety policies and OSHA/Hazmat regulations.
  • Maintain a clean, organized workspace and assist in keeping the branch and office area orderly.
