Position: Project Manager
Position Summary
The Project Manager is responsible for leading and coordinating strategic projects, business systems, and process improvement initiatives across Insignia Event Services. This role serves as a central point of coordination between Sales, Events, Operations, and Finance, ensuring projects are delivered on time, within scope, and aligned with organizational objectives.
Key areas of responsibility include ownership and administration of the company's inventory management and project management systems, oversight of project implementation and adoption, review of event estimates and post-event billing accuracy, and management of special projects assigned by executive leadership. The ideal candidate is highly detail-oriented, process-driven, and an exceptional communicator who can effectively collaborate across departments while maintaining a strong focus on accuracy, accountability, and continuous improvement.
Key Responsibilities
• Lead assigned projects from planning through implementation, ensuring timelines, deliverables, and objectives are achieved.
  • Partner with Executive Leadership to research, develop, and execute strategic initiatives and operational improvement projects.
  • Serve as the primary administrator for the company's project management platform (Asana), including workflow development, user training, implementation of best practices, reporting, and AI-enabled process enhancements.
  • Oversee the inventory management system, ensuring accurate tracking, reporting, process compliance, and training across all departments.
  • Review event estimates and proposals prior to execution to ensure accuracy, completeness, and alignment with operational requirements.
  • Conduct post-event audits to verify billing accuracy, identify discrepancies, and ensure timely and accurate client invoicing.
  • Develop and maintain project plans, schedules, budgets, status reports, and performance metrics.
  • Coordinate cross-functional communication among internal teams, vendors, and stakeholders to ensure alignment and accountability.
  • Identify process improvement opportunities that enhance efficiency, accuracy, profitability, and the overall client experience.
  • Analyze project outcomes and operational data to provide recommendations and support informed decision-making.
  • Support due diligence, business analysis, operational assessments, and other special projects as assigned.
  • Maintain detailed project documentation and ensure consistent execution of established processes and standards.

Qualifications
  • Bachelor's degree in Business, Project Management, Operations, Finance, or a related field; equivalent experience considered.
  • Minimum 2 years of management experience with a demonstrated track record of successfully leading and delivering projects.
  • Strong project management, organizational, and time-management skills with the ability to manage multiple priorities simultaneously.
