Job description

Foley Mansfield is a national law firm with more than 110 attorneys in offices from coast to coast. We seek an experienced Legal Administrative Assistant to join our team. The ideal candidate will have a minimum of 5 years of legal assistant experience, with a background in Products Liability and/or General Liability Litigation. This position allows for a hybrid schedule: 3 days work from home/2 days in office. Of course you may choose to work in the office more often.

Responsibilities:

  • Managing Office and Attorney Calendars:
    • Review attorney calendar weekly and send reminders regarding upcoming deadlines
    • Ensure all deadlines are met
    • Create and send calendar invites as requested
  • Document Management and Drafting:
    • Prepare shells for various documents; finalize documents before filing
    • Keep accurate and up-to-date records; help maintain case files
  • E-Filing:
    • File legal documents electronically with courts and other external bodies
    • Ensure compliance with all filing requirements
    • Approximately 90% state court filings; 10% federal or appellate filings
  • Expense and Bar/CLE Management:
    • Submit attorney expenses in a timely manner
    • Maintain attorney bar admissions, CLE credits, and various professional association memberships
  • Meeting and Trial Preparation:
    • Assist in preparing materials for depositions, hearings, trials, and other meetings
    • Ensure all necessary documentation is in order 

Qualifications:

  • Minimum of 5 years legal assistant or legal secretary experience
  • Extensive knowledge of state court rules
  • Proficient in Microsoft Suite applications
  • Experience using macros and styles to format Word documents, including Tables of Contents and Tables of Authorities
  • Proficient in using a document management system
  • Ability to think critically and independently tackle new challenges
  • Excellent organizational and multitasking skills
  • Effective communication and interpersonal skills
