About the Opportunity

Our client, a world-class and fast-growing plastic surgery clinic, is seeking a high-performing Executive Assistant to support the organization's Chief Executive Officer (CEO).

This is a mission-critical role for a proactive operator who thrives in a fast-paced, high-accountability environment. The EA will serve as a true extension of the CEO, ensuring seamless execution of day-to-day operations, optimizing time and priorities, and driving coordination across key initiatives.

While this role will collaborate with broader leadership (CFO, COO, etc), the primary focus and success of this position is anchored in supporting the CEO, both operationally and strategically.

This is a hybrid role with a strong in-person component, requiring regular presence at their Miami clinic to support executive operations, meetings, and business priorities.

Key ResponsibilitiesExecutive & Operational Support
  • Provide proactive, day-to-day support to the CEO as the primary executive partner
  • Manage complex calendars, scheduling, and travel with precision and foresight
  • Anticipate conflicts, prepare meeting briefs, and ensure the CEO is fully prepared for all engagements
  • Act as a central coordination point across departments, ensuring follow-through on operational priorities
  • Support execution of key initiatives by tracking deliverables, timelines, and accountability
  • Draft and manage executive communications
  • Maintain the highest level of confidentiality across all matters
Leadership & Cross-Functional Coordination
  • Interface with CFO, COO and senior leadership to support alignment and execution
  • Coordinate leadership meetings, agendas, and follow-ups
  • Ensure seamless communication flow across teams and stakeholders
  • Support preparation of reports, presentations, and internal updates
Project & Strategic Support
  • Maintain visibility into key operational and strategic initiatives led by the CEO
  • Track action items and ensure timely execution across the organization
  • Coordinate special projects, leadership offsites, and stakeholder meetings
  • Conduct research and synthesize insights to support decision-making
Selective Personal Support (CEO)
  • Provide personal administrative support (e.g., scheduling, travel coordination, family coordination) as needed to optimize executive efficiency
Technology & Process Optimization
  • Leverage tools such as ChatGPT, Motion, Gamma, Slack, and Teams to streamline workflows
  • Identify and implement process improvements across scheduling, communication, and task management
  • Support adoption of tools and systems that enhance operational efficiency
Ideal Candidate Profile
  • Bilingual: Fluent in Spanish and English (written and verbal)
  • Experience: 5+ years supporting senior executives, ideally with direct COO or operations leadership exposure
  • Industry: experience in a dynamic, high-performance entrepreneurial environment required (tech, finance, consulting), exposure to a Healthcare or regulated environment is an asset.
  • Operational Mindset: Strong ability to manage moving priorities, track execution, and drive follow-through
  • Executive Presence: Polished, professional communicator with strong attention to detail
  • High Judgment & Discretion: Proven ability to manage confidential and sensitive information
  • Proactive & Autonomous: Anticipates needs, operates independently, and thrives in ambiguity
  • Tech-Savvy: Comfortable leveraging modern productivity tools and AI to drive efficiency

Compensation & Benefits
  • Base Salary: $60,000 $100,000 (commensurate with experience)
