The Sales Administrative Assistant responsibilities include but are not limited to providing administrative and operational support to the Sales team, ensuring the department operates efficiently and effectively. This role requires a highly organized, detail-oriented, and service-focused individual who thrives in a fast-paced environment and is committed to delivering exceptional support to both internal and external customers.

Essential Job Functions

  • Provide administrative support to the Sales team, including Sales Managers and the Director of Sales & Marketing.

  • Maintain calendars, schedule meetings, coordinate appointments, and manage travel arrangements for department leadership.
  • Assist in planning and coordinating hotel site inspections, client visits and others.
  • Prepare proposals, contracts, presentations, reports, and other sales-related correspondence.
  • Maintain accurate client records, sales files, and databases using the hotel's sales systems.
  • Process contracts, group documentation, and other administrative paperwork in a timely manner.
  • Answer incoming phone calls, respond to email inquiries, and direct customer requests appropriately.
  • Coordinate internal meetings and communicate event details between departments to support successful client experiences.
  • Monitor office supplies and maintain an organized and efficient sales office environment.
  • Assist with special projects, marketing initiatives, and departmental events as assigned.
  • Demonstrate exceptional customer service by responding promptly and professionally to internal and external stakeholders.
  • Perform other administrative duties and responsibilities as assigned to support departmental goals.
