Executive Administrative Support
- Manage calendars for Managing Directors, including scheduling meetings, coordinating availability, and resolving calendar conflicts.
- Schedule and coordinate internal and external meetings, including preparing agendas, meeting materials, conference rooms, video links, and follow-up items as needed.
- Coordinate travel arrangements, including flights, hotels, transportation, itineraries, and related logistics.
- Prepare and submit expense reports accurately and timely, ensuring proper documentation and compliance with company policies.
- Assist with special projects, presentations, correspondence, and administrative tasks as assigned.
- Serve as a professional point of contact for internal and external stakeholders on behalf of company leadership.
- Handle confidential and sensitive information with professionalism and discretion.
Human Resources Support
- Provide administrative and generalist support to the HR Department across core HR functions.
- Assist with onboarding activities, including preparing new hire materials, coordinating schedules, supporting orientation, and ensuring completion of required documentation.
- Support recruitment activities, including posting positions, scheduling interviews, communicating with candidates, and maintaining applicant tracking information.
- Maintain employee records and HR files in accordance with company policy and applicable requirements.
- Assist with employee questions related to basic HR policies, benefits, timekeeping, payroll processes, and general employment information.
- Support HR communications, employee announcements, training coordination, and employee engagement activities.
- Assist with benefits administration tasks, including enrollment support, employee communication, and coordination with vendors as needed.
- Help track compliance-related documentation, training completion, and other HR deadlines.
- Provide support for performance management, employee relations documentation, and HR reporting as requested.
- Assist with planning and coordination of employee events, recognition programs, and company initiatives.
Qualifications
- Associate's or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Prior experience in an administrative, executive assistant, HR assistant, or HR coordinator role preferred.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience with HRIS, applicant tracking systems, payroll systems, or expense reporting platforms preferred.
- Ability to work independently while also collaborating effectively with leadership, HR, and employees.
- Strong customer-service orientation and a positive, approachable demeanor.

Salary Range: $55,000 to $65,000
