POSITION TITLE : Human Resources Intern
REPORTS TO : Director of Human Resources
FLSA STATUS : Unpaid Internship (Eligible for College Credit)
SCHEDULE : Minimum of 120 hours per semester; approximately 10 weeks at 12 hours per week, with exact schedule configuration flexible
GENERAL DESCRIPTION :
The Human Resources Intern supports the Director of Human Resources with routine administrative tasks and assigned projects that help maintain an organized, responsive, and confidential HR function within The Child Advocacy Center of Greater Rochester (The CAC). This unpaid internship is eligible for college credit and provides practical exposure to HR administration, documentation, scheduling, records organization, communications, and process improvement. The intern will not process payroll or make payroll-related changes.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
Human Resources Administrative Support
  • Organizes, scans, files, and maintains HR records, forms, and department documents as directed
  • Prepares and updates onboarding materials, new hire packets, checklists, templates, and other employee-facing documents
  • Assists with scheduling interviews, orientation meetings, trainings, and other HR-related meetings
  • Updates tracking spreadsheets, calendars, logs, and checklists to support follow-up and department organization
  • Drafts, edits, proofreads, formats, and organizes routine HR communications and internal documents
  • Supports employee engagement, surveys, trainings, recognition activities, staff events, and other HR initiatives by preparing materials and tracking completion
  • Maintains confidentiality of personnel information and handles sensitive information with professionalism and discretion
  • Provides general administrative support to the HR Director and daily HR operations

Administrative Projects
  • Completes assigned projects that support HR process improvement, organization, consistency, and workflow efficiency
  • Creates, updates, and organizes HR checklists, guides, templates, forms, shared folders, electronic files, and project materials
  • Supports the HR Procedures Manual by formatting content, organizing information, and documenting routine steps as assigned
  • Researches and compiles information for HR projects, training resources, employee communications, or administrative planning
  • Performs other related duties and administrative projects, as assigned
  • Does not process payroll, approve payroll, enter payroll changes, or make independent employment-related decisions

QUALIFICATION REQUIREMENTS :

EDUCATION AND EXPERIENCE :
  • Current college student pursuing coursework in human resources, business, public administration, nonprofit management, psychology, social work, communications, or a related field
  • Eligible to receive college credit through an approved internship program, preferred
  • Able to complete a minimum of 120 internship hours during the semester
  • Prior administrative, office, customer service, volunteer, or nonprofit experience preferred, but not required

  • Strong commitment to confidentiality, professionalism, and ethical handling of sensitive information
  • Excellent organizational skills, attention to detail, and ability to follow through on assigned tasks
  • Effective written and verbal communication skills
  • Willingness to learn basic HR practices and nonprofit administrative operations
  • Ability to follow instructions, ask appropriate questions, accept feedback, manage multiple tasks, and meet deadlines with appropriate supervision
  • Comfort with Microsoft Office Suite, including Word, Excel, Outlook, and Teams
  • Ability to build positive working relationships and demonstrate respect for diversity, inclusion, and culturally responsive service

PHYSICAL REQUIREMENTS :
  • Prolonged periods of working at a desk and on a computer
  • Ability to communicate verbally and in written form
