Job description

The Part-Time Front Office Administrative Coordinator is responsible for ensuring Atlanta Fine Homes Sotheby's International Realty offices operate efficiently while delivering a polished, hospitality-driven experience for advisors, clients, vendors, and guests. This role serves as the first point of contact for the office, supports day-to-day administrative operations, assists the listings coordination team, and helps maintain company and brand standards.


Due to the in-person nature of front office coverage and office operations, this position is fully onsite and is not eligible for hybrid or remote work. This position has no supervisory responsibilities.


Essential Duties and Responsibilities


Front Desk, Operations & Hospitality

  • Serve as the first point of contact for advisors, clients, vendors, and guests, providing a professional, welcoming experience.
  • Answer and route incoming calls, emails, and visitor inquiries promptly and accurately.
  • Maintain reception, lobby, conference rooms, and other client-facing spaces to company and brand standards.
  • Coordinate conference room scheduling and meeting logistics.
  • Partner with Hospitality Services to prepare meeting spaces, refreshments, and client hospitality needs.
  • Manage office supply inventory and coordinate ordering as needed.
  • Assist with vendor coordination for maintenance, cleaning, and facility requests.


Advisor & Listings Support

  • Support advisors and the Listings Coordination team by receiving and routing listing materials, keys, lockboxes, signs, marketing collateral, and related documents.
  • Coordinate the check-in and check-out of keys, lockboxes, signs, and other office assets while maintaining accurate records.
  • Answer basic questions regarding office procedures and direct advisors to the appropriate resources when needed.


Administrative Support

  • Provide administrative support to advisors, brokers, and leadership, including document preparation, scheduling, correspondence, and basic reporting.
  • Assist with office meetings, training sessions, and special events by preparing materials, coordinating room setup, and providing logistical support.
  • Distribute internal communications and office notices as directed.


General Responsibilities

  • Follow company policies, procedures, and operational workflows.
  • Maintain confidentiality and professionalism in all interactions.
  • Identify opportunities to improve front office efficiency and customer service.
  • Perform other duties as assigned.


Qualifications

Required

  • 2+ years of administrative, front desk, customer service, or office coordination experience.

Work Schedule

This is a part-time, onsite position. The anticipated schedule is approximately 20–30 hours per week, generally Monday through Friday during normal business hours. Specific days and hours may be adjusted based on business needs.


Occasional early morning, evening, or weekend hours may be required to support office events or operational needs.


Work Location

This position is based onsite at Atlanta Fine Homes Sotheby's International Realty and may occasionally provide support at other Atlanta Metro office locations, including Buckhead, Cobb, Intown, and North Atlanta.


Physical Requirements

  • Ability to sit, stand, walk, and move throughout the office as needed.
  • Ability to lift and carry up to 25 pounds with or without reasonable accommodation.
  • Ability to regularly operate standard office equipment including computers, phones, copiers, and scanners.
