Job Summary:
We are seeking a professional and organized HOA Office Assistant to provide essential administrative and office support for our community. You will serve as the primary point of contact for homeowners, Board members, vendors, and other stakeholders, ensuring the community’s operations run smoothly. The ideal candidate is a proactive communicator who excels at balancing administrative tasks with financial responsibilities and community relations.

Key Responsibilities:

  • Administrative Support: Manage day-to-day office operations, including answering phones, responding to emails, and greeting visitors with a professional demeanor.
  • Stakeholder Liaison: Act as the central point of contact for the Board of Directors, homeowners, and contractors to resolve inquiries and facilitate communication.
  • Documentation & Reporting: Prepare professional letters, community notices, reports, and spreadsheets. Maintain accurate physical and digital filing systems.
  • Calendar Management: Schedule meetings, manage office calendars, and coordinate community events or board meetings.
  • Financial Duties: Process invoices, homeowner payments, and receipts. Perform data entry and maintain accurate financial records using QuickBooks.
  • Office Management: Execute all other duties typical of an HOA Office Manager to ensure the facility and community interests are well-maintained.

Required Skills & Qualifications:

  • Software Proficiency: Expert knowledge of QuickBooks and Microsoft Office (Word, Excel, Outlook) is required.
  • Financial Literacy: Solid understanding of basic bookkeeping principles and financial document processing.
  • Exceptional Organization: High attention to detail with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Independent Work Ethic: Proven ability to work independently with minimal supervision while maintaining high productivity.
  • Education: High School Diploma or equivalent required.

Preferred Qualifications:

  • Previous experience in HOA property management or real estate.
  • Experience working directly with a Board of Directors.
  • Familiarity with HOA-specific accounting and governing documents.
