Job description

Job Function:

Responsible record-keeping requires considerable judgment in the daily activities of the Information Technology Department. This position functions as the main point of contact for the help desk. Performs administrative-level secretarial work, including highly responsible administrative support to the Department. Maintains computer system, component inventory, licensing, and assists with budgeting. The employee works with considerable independence and initiative; however, work is completed under the general supervision of the Department Director.

  1. Administrative assistance to the Director.
  2. Transmit orders and instructions of the Director.
  3. Establish and maintain a filing system/records for the Department. Follow retention schedules according to the State Records Retention Standards.
  4. Answer incoming phone lines and provide technical assistance to staff and City employees, troubleshoot problems, assist with account creation, and perform various software functions.
  5. Prepare travel requests which include preparation of educational leave forms, mileage and meal reimbursement, and hotel reservations. Also, process educational request forms/reimbursement for employees enrolled in college classes.
  6. Processes and assists with the budget transfers and amendments.
  7. Requisition materials and supplies and enter coded invoices for payment, maintain open purchase orders, prepare check requests, and if necessary, budget transfers and amendments.
  8. Give out information according to department rules, regulations, and policies.
  9. Maintain software licensing and hardware warranty information.
  10. Update departmental Web Pages.
  11. Perform other related functions as required.

Required Qualifications:

  • High School graduation or GED required. Associate's degree from an accredited college or university, or two (2) years training or course work in business executive secretarial or related field preferred.
  • Valid Florida Driver’s License required.
  • Must have proven hands-on experience as a help desk technician.
  • Must have a working knowledge of the Microsoft Office Suite, automation products, and remote desktop control software.
  • Ability to diagnose and resolve basic technical issues with computer systems, mobile devices, and other technical products.
  • Complete the required National Incident Management System (NIMS) training within 6 months of completion of the probationary period.

Essential Physical Skills:

  • Ability to communicate verbally.
  • Acceptable eyesight (with or without corrections).
  • Acceptable hearing (with or without hearing aid).
  • Able to lift and carry weight up to ten (10bs) pounds.
  • Walking or standing for periods of time.
  • Able to exert up to five pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
  • Must be physically able to operate a variety of office machines and equipment including computers, copiers, telephones, calculators, etc.
