Compensation: $21.00 - $23.00. The base compensation range for this role is fixed, with a maximum cap of $23.00.
Hours: Monday-Friday, 8AM-5PM, fully remote

The EVV Coordinator is responsible for the day-to-day administration, monitoring, and optimization of the agency's Electronic Visit Verification program across applicable states of operation. This role ensures compliance with the 21st Century Cures Act EVV mandate and each state Medicaid program's specific EVV requirements, while managing the technical and operational interface between Homecare Homebase (HCHB) and Home Health Exchange (HHAeXchange). The EVV Coordinator serves as the subject matter expert for visit capture, exception management, claims matching, and aggregator submissions, working cross-functionally with clinical operations, scheduling, billing, and IT.

Electronic Visit Verification Job ResponsilibitiesEVV Operations & ComplianceResponsibilities
  • Monitor daily EVV visit data flow from HCHB into Home Health Exchange (HHAeXchange) to ensure timely, accurate transmission of visit records.
  • Track and resolve EVV exceptions (missed clock-ins/outs, GPS mismatches, late visits, manual entries) in accordance with agency policy and state-specific timeframes.
  • Maintain current knowledge of EVV mandates and reporting requirements for each state Medicaid program the agency operates in, including state-specific aggregator specifications, visit data elements, and reason code libraries.
  • Serve as the primary point of contact for state Medicaid EVV aggregator inquiries, audits, and data reconciliation requests.
  • Ensure visit verification data supports clean claims submission and reduces EVV-related claim denials or payment holds.
System Administration (HCHB & HHAeXchange)
  • Configure and maintain EVV-related settings within HCHB (visit types, GPS/telephony rules, exception codes, payer mappings) to align with each state's EVV model (state-mandated aggregator vs. agency/vendor model).
  • Manage the HCHB-HHAeXchange interface, including file transmissions, error queues, rejection reports, and reconciliation of unmatched or rejected visits.
  • Coordinate with HCHB and HHAeXchange support/account teams to troubleshoot integration issues, system updates, or data mapping changes.
  • Test and validate system updates, new state rollouts, or payer changes in a non-production environment before go-live.
Reporting & Auditing
  • Generate and distribute daily/weekly/monthly EVV compliance reports (exception rates, aging exceptions, unmatched visits, visit verification percentages) to branch and executive leadership.
  • Identify trends in EVV exceptions by branch, caregiver, or payer and recommend corrective action or training.
  • Support internal and external audits (state, payer, accreditation) with documentation of EVV compliance and data integrity.
Training & Cross-Functional Support
  • Train field clinicians, schedulers, and branch office staff on EVV workflows, mobile app clock-in/out procedures, and exception resolution within HCHB.
  • Partner with billing/RCM teams to resolve EVV-related claim edits, denials, or hold codes tied to visit verification mismatches.
  • Support new-state or new-branch onboarding by configuring EVV workflows and training staff ahead of go-live.
  • Act as liaison between the agency and state EVV program contacts, HHAeXchange, and HCHB during system changes or regulatory updates.

Electronic Visit Verification Job Requirements

  • 2+ years of experience in home health, home care, hospice operations, billing, or compliance.
  • Direct hands-on experience with HCHB (Homecare Homebase) required.
  • Experience with Home Health Exchange (HHAeXchange) or another state EVV aggregator/vendor platform required.
  • Working knowledge of the 21st Century Cures Act EVV mandate and Medicaid EVV requirements.
  • Strong analytical and data reconciliation skills; comfortable working in spreadsheets and system reports.
  • Excellent written and verbal communication skills, with ability to train non-technical staff.
  • Ability to manage multiple state-specific compliance requirements simultaneously.

EDUCATION AND/OR EXPERIENCE

  • Familiarity with additional EVV aggregators (e.g., Sandata, Tellus, CareBridge) is a plus.
  • Background in home health billing/revenue cycle, with understanding of claims-to-visit matching.
  • Associate or bachelor's degree in healthcare administration, business, or related field (or equivalent experience) preferred.
