Job Overview
Job Title: Program Administrator - PMO
Location: Tampa, FL
The position is pending contract award.
Job Responsibilities
Trace Systems is actively recruiting for a Program Administrator to support the EAGLE-I contract onsite as part of the Trace Program Management Office in Tampa, FL.
The job responsibilities include, but are not limited to:
  • Ensures timely, quality, compliant development and delivery of contract deliverables.
  • Tracks & optimizes contract performance compliance, scorecards, and PMO processes.
  • Drives risk/issue/action registers, prepares read-aheads, and orchestrates governance cadences (TEMs, ERB/CCB/TRR) including agenda planning and decision capture.
  • Owns intake, validation, routing, and tracking of TARs (Travel Authorization Requests) and RIP/CTP (Request to Initiate Purchase / Consent to Purchase).
  • Consolidates inputs from all sections into PM/DPM briefings, variance narratives, and KPI rollups.
  • Coordinates delivery schedules and acceptance packages and tracks closure of PMO taskers.
  • Builds/maintains the IMS at the direction of the PM/DPM.
  • Backs up/assists travel coordinator if needed.
  • Coordinates with the other PMO staff to ensure on-time, correct, compliant submissions to Government.
  • Other duties as required.

Minimum Qualifications
  • An active, in-scope US Government issued Secret clearance.
  • 5+ years senior administrative support on DoD programs including task order oversight, subcontractor management, personnel actions, deliverable tracking, timecard approvals, and program reviews.
  • Advanced use of MS Office (Excel/PowerPoint), SharePoint, and meeting management skills demonstrated through burn rate tracking, spend plans, KPI rollups, executive briefings, program presentations, and maintaining SharePoint repositories while leading recurring program reviews.
  • Mastery of action tracking, minutes/decision logs, and executive brief preparation shown by maintaining meeting minutes, action logs, deliverable records, and producing read-aheads, variance narratives, KPI rollups, and executive briefings for PM/DPM and government stakeholders.
  • Excellent written communication and professionalism with Government counterparts including CORs, KOs, GTLs, and senior officials.

Desired Qualification
  • Proven experience supporting FEDSIM programs and task orders, including contract administration, performance monitoring, and compliance with GSA/FEDSIM requirements.
  • Strong working knowledge of federal contracting processes, particularly GSA schedules and FEDSIM procedures, with the ability to serve as the primary point of contact for program activities.
