Job description

At PanCare, we believe strong communities begin with accessible, high-quality healthcare, and grant funding plays a key role in making that possible. We are seeking an experienced Grants Manager to serve as the organization's lead expert in grants management, compliance oversight, and funding coordination. This role offers the opportunity to partner with leaders across the organization to support meaningful programs and initiatives that directly impact the communities we serve. The ideal candidate is strategic, collaborative, highly organized, and confident navigating complex funding requirements while keeping the bigger picture in focus. In other words: someone who can manage spreadsheets and strategy meetings with equal skill.
Remote candidates in the State of Florida will be considered.
Responsibilities:

  • Manage the full lifecycle of the organization's grants portfolio, including pre-award coordination, post-award administration, reporting and closeout.
  • Manage grant timelines, prioritizing deadlines, and determining resource allocation to ensure compliance. Coordinate with the external grant writing consultant/team to provide required organizational documents, attachments, budgets, approvals, and internal information needed for timely submission of grant applications.
  • Monitor and support stakeholder adherence to grant requirements to ensure timely and compliant execution of grant related activities
  • Track application status, identify risks or delays, and determine appropriate follow up actions and escalation strategies.
  • Review grant awards, contracts, notices of award, amendments, and terms and conditions.
  • Establish and maintain complete grant files for all federal, state, and foundation awards.
  • Track grant periods of performance, reporting deadlines, special conditions, required deliverables, and renewal dates.
  • Prepare programmatic reports, continuation submissions, progress updates, and closeout activities.
  • Monitor and analyze grant spending and report variances, determining appropriate corrective actions in alignment with funding requirements.
  • Makes determinations regarding grant compliance, allowable costs, and required actions in alignment with funding requirements.
  • Work closely with the CFO to align approved grant budgets with internal financial tracking.
  • Monitor grant spending against approved budgets and flag potential variances, underspending, overspending, or unallowable use concerns.
  • Assist with audit preparation, funder monitoring reviews, and responses to grant-related requests.
  • Help maintain internal controls related to grants management, documentation, deadlines, approvals, and record retention.
  • Interpret and ensure compliance with applicable federal, state, and private grant requirements and determine appropriate responses to grant related audits and monitoring reviews.
  • Coordinate timely collection of narratives, performance metrics, staffing information, program updates, and supporting documentation from internal departments.
  • Develop and maintain standard templates, checklists, workflows, and tracking tools for grants management.
  • Provide regular status updates to leadership regarding active grants, pending opportunities, renewals, and compliance deadlines.
  • Assist with leadership and board reporting related to grants activity.
  • Support grant-related process improvement initiatives.
  • Operate with a high degree of autonomy in managing the grants portfolio, including determining priorities, resolving issues, and implementing actions necessary to maintain compliance.
  • Participate in special projects related to grant-funded expansion, compliance improvement, or operational readiness.
  • Other duties as required to support business operations.
Education/Experience:
  • Bachelor's degree in business, healthcare administration, public administration, finance, accounting, nonprofit management, or related field.
  • Minimum of 3 years of experience in grants administration, grants management, compliance, finance coordination, healthcare administration, or nonprofit administration.
  • Experience in an FQHC, community health center, healthcare organization, hospital, or nonprofit healthcare setting preferred.
  • Experience with HRSA grants, Ryan White funding, state grants, government contracts, or foundation grants preferred.
  • Experience supporting audit preparation, compliance reviews, or funder monitoring preferred.
  • Experience working with external grant writers or consultants preferred.
  • Familiarity with grant portals, award documentation, and federal or state reporting processes preferred.
