Job description

Job Summary/Company: Sparks Group has partnered with a leading aviation manufacturer seeking a discreet Executive Assistant to support a C-Suite Executive. IF you have a Bachelor's Degree and 3+ years of progressive experience supporting a C-suite executive and are fluent in either French or German- this is the ideal role for you apply now and call 703-620-6444 for an immediate interview.
Responsibilities:
    • Correspondence: Draft emails, letters, and official documents for the Head of Program's signature.

    • Approvals & Expenses: Process expense reports, goods receipts, and signature requests quickly and accurately.

    • Data & Files: Maintain secure program records and develop efficient filing procedures.

    • Confidentiality: Handle highly sensitive and confidential company information with total discretion.

    • Calendar Management: Independently manage a complex, fast-moving calendar, resolve scheduling conflicts, and cross-check with internal systems (MMS).

    • Travel Planning: Arrange complex domestic and international travel, coordinate joint itineraries, and manage travel expenses (via Concur).

    • Event Coordination: Assist with events, customer dinners, and community engagements to reinforce the companyโ€™s professional image.

    • Relationship Building: Foster connections with local officials and community leaders.

    • Representation: Step in to attend meetings or route urgent matters to the correct staff when the Head of Program is traveling or absent.

    • Lead or support internal company events.

    • Partner with other Executive Assistants across the company to coordinate senior leadership efforts.


    Qualifications/Background Profile:
    • Degree: Bachelorโ€™s degree in Business Administration, Communications, English, or a related field.

    • Experience: At least 2 years of progressive experience supporting a senior-level manager.

    • Tech Savvy: Strong knowledge of digital workplace tools (Google Workspace, Gmail, Google Meets, Smartsheet).

    • Communication: Exceptional written and verbal communication skills with a strong eye for proofreading and detail.

    • Organization: Proven ability to manage a heavy workload, prioritize tasks with little guidance, and maintain strict confidentiality.

    • Analytical Tools: Experience with Tableau, Google Dashboards, SAP, or Skywise.

    • Systems: Experience using Concur

    • Languages: Fluency in French and/or German is highly desirable.

    • Certification: Active Notary Public. Preferred
