Job description

Spotify is hiring an Executive Assistant to support our two Co-Heads of Global Communications. You'll play a central role in keeping two highly visible leaders and the wider Communications team moving in the right direction-across priorities, meetings, projects, and time zones.

What You'll Do
  • Own complex calendar and meeting management for both Co-Heads, coordinating across time zones and ensuring their time reflects team and company priorities.
  • Triage meeting requests, invitations, decisions, and information. Assess urgency and relevance, surface trade-offs, recommend priorities, and respectfully redirect requests when appropriate.
  • Serve as a central coordination point for the Global Communications team, helping align priorities, communication, and ways of working across functions, geographies, and senior stakeholders.
  • Track and communicate priority projects, decisions, and action items, proactively escalating issues and helping ensure commitments are followed through.
  • Prepare meeting materials and agendas, capture notes and next steps, and support email prioritization, drafting, and follow-up.
  • Organize global business travel, including bookings, detailed itineraries, contingency planning, and expense reporting, and support team travel and expenses in line with internal policies.
  • Coordinate team meetings, offsites, training, celebrations, All Hands, and cross-functional meetings.
  • Represent Spotify thoughtfully and professionally by drafting correspondence, welcoming guests, and handling confidential or sensitive matters with discretion.

Who You Are
  • You have 5+ years of experience supporting senior executives and bring a track record of managing complex, fast-moving priorities.
  • You are highly organized and can manage multiple workstreams while seeing connections, dependencies, and potential issues.
  • You are a thoughtful prioritizer who can distinguish between what is urgent, what is important, what can be delegated, and what requires executive attention.
  • You anticipate needs, look ahead, and take action without waiting for every detail or instruction.
  • You use sound judgment when information is incomplete and know when to make a decision independently and when to escalate.
  • You are curious about Spotify's business and motivated to understand how our products, people, creators, partners, and audiences connect.
  • You communicate clearly and thoughtfully, both verbally and in writing, and bring strong attention to detail.
  • You build trust, handle confidential information with discretion, and remain adaptable and composed as priorities change.
  • You take ownership, close loops, communicate progress proactively, and follow through on commitments.
  • You are comfortable using Google Workspace, particularly Calendar, Slides, and Docs, as well as collaboration and expense tools such as Slack and Concur, and you are interested in learning new tools, including AI.

Where You'll Be
  • This role is based in New York, NY.
  • We offer you the flexibility to work where you work best! There will be some in person meetings, but still allows for flexibility to work from home.

The United States base range for this position is $92,933 - $132,762, plus equity. The benefits available for this position include health insurance, six month paid parental leave, 401(k) retirement plan, monthly meal allowance, 23 paid days off, 13 paid flexible holidays. This range encompasses multiple levels. Leveling is determined during the interview process. Placement in a level depends on relevant work history and interview performance. These ranges may be modified in the future.
