What is a full time technical writer?

A Full Time Technical Writer is a professional who creates clear, concise, and user-friendly documentation to explain complex technical information. They often work on manuals, guides, online help systems, and other materials that help users understand products, software, or processes. Technical Writers collaborate with engineers, product managers, and subject matter experts to ensure accuracy and clarity. Working full time means they are employed on a regular, ongoing basis rather than as a freelancer or contractor. Their goal is to make technical information accessible to a wide audience.

How do technical writers typically collaborate with subject matter experts (SMEs) and development teams?

Technical writers frequently work closely with subject matter experts and development teams to gather accurate information about products, processes, or systems. This collaboration often involves attending meetings, conducting interviews, and reviewing technical documents or prototypes. Building strong communication channels is essential, as writers must translate complex technical details into clear, user-friendly documentation. Being proactive in seeking clarification and feedback helps ensure the final content is precise and useful for the intended audience.

What are the key skills and qualifications needed to thrive as a full time technical writer, and why are they important?

To thrive as a Full Time Technical Writer, you need excellent written communication, attention to detail, and a solid grasp of technical concepts, usually supported by a degree in English, Communications, or a relevant technical field. Familiarity with content management systems (CMS), documentation tools like MadCap Flare or Adobe FrameMaker, and markup languages such as HTML or Markdown is often required. These competencies ensure that technical documentation is accurate, user-friendly, and effectively supports both end-users and internal teams.

TRAX USA Corp., a global leader in aviation maintenance software, seeks a Technical Writer to join the Technical Writing team. Technical Writers are responsible for providing effective information for end users and must be eager to learn and apply best-practice technical communication techniques such as information gathering, task and audience analysis, process flow creation, and content delivery. The Technical Writing team documents all end user help guides for Trax’s suite of apps (including various web applications and iOS apps).

As experience grows, this role expands into process documentation, workflow analysis, and capturing operational best practices—skills often associated with business analysis.

Responsibilities include, but are not limited to:

  • Coordinating and participating in the collection, interpretation, and writing of front-end documentation that makes up the various Online Help libraries. These libraries include operational process flows and end user documentation.
  • Collaborating with subject matter experts and stakeholders to elicit, interpret, and document user workflows, business rules, and real-world use cases.
  • Documentation must be well written, efficient, and effective.
  • When creating, updating, and enhancing the documentation, the Technical Writer will adhere to the style guidelines of the Technical Writing department, ensuring accuracy, consistency, and quality.
  • Analyze source content provided by subject matter experts (SMEs), product documentation, and existing training materials to help inform learning objectives and structure.
  • Create and refine process diagrams, decision points, and workflow logic to support both user documentation and internal understanding of product behavior.
  • Develop knowledge of Trax products by exploring features, configuring data, troubleshooting, and simulating real-world use cases that will be explained and/or illustrated in the Online Help libraries.
  • Closely work with the other members of the Technical Writing and eLearning department, as well as with the Product Support, Programming, and Project Management teams.
  • Participate in cross-functional discussions to understand changes in business processes, system capabilities, and user behavior, ensuring documentation reflects real operational scenarios.
  • Provide regular updates and feedback regarding any relevant progress and timelines.
  • Although not likely, occasional travel assignments may be required.
  • Other duties as assigned.
Requirements:Requirements
  • Qualified applicants must demonstrate excellent organization, communication and writing skills, and an astute eye for detail.
  • This position requires highly motivated individuals who can grasp complex software and learn quickly. It also requires the ability to work within tight deadlines and team-based environments.
  • A bachelor's degree in English, Technical Communications, Business Administration (Aviation), Airline Maintenance, or a related field.
  • Familiarity with aviation maintenance, MRO operations, or enterprise software training is a plus.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel) is essential.
  • Demonstrated ability to communicate difficult concepts and processes using clear and simple language and visuals.
  • Proficiency in Microsoft Visio, technical writing software (such as Author-IT, MadCap Flare, RoboHelp, FrameMaker, etc.), Adobe Captivate or Articulate Storyline, and photo editing tools (Corel, PhotoShop, Canva, etc.) is preferred.
  • Experience with process mapping, workflow analysis, or requirements gathering (formal or informal) is highly desirable.
  • Familiarity with business analysis tools or techniques such as swimlane diagrams, user stories, acceptance criteria, or stakeholder interviews is a plus.
  • Process-related documentation and/or Business Analyst experience is a plus.
  • Four years practical exposure in the specific field may waive educational requirements.
  • Applicants must provide at least two writing samples that showcase strong communication skills. Applicants who fail to provide such writing samples will not be considered for the position.
