Job description

Podean is a leading marketplace agency helping brands accelerate growth across Amazon, Walmart, Target, TikTok Shop, and other digital commerce platforms. We combine strategic expertise, data-driven insights, and creative innovation to deliver measurable business outcomes for our clients.

We're looking for a highly organized, proactive, and resourceful Executive Assistant to support a team of C-suite executives across our global leadership team. In this role, you'll act as the connective tissue that keeps priorities aligned, calendars managed, and operations running smoothly. Because our leaders and partners span multiple time zones, this role requires someone who is deeply comfortable operating across time zones, cultures, and global business environments - and who has done it before.

This is an ideal role for someone who thrives in fast-moving environments, has a strong sense of ownership, and can create structure and clarity behind the scenes while balancing the competing demands of a globally distributed executive team.

This role is based in the New York metro area. Candidates must be able to commute to our NYC office as needed.

What You'll Do

  • Provide day-to-day administrative support to multiple C-suite executives, managing complex global calendars, international travel, and cross-time-zone meeting coordination
  • Serve as a gatekeeper and primary point of contact, ensuring executives' time is protected and focused on top priorities
  • Prepare agendas, presentations, briefing materials, and follow-up notes for meetings with internal teams, the board of directors,, and global partners
  • Coordinate across internal departments and international stakeholders to support executive initiatives
  • Track action items and deadlines, ensuring timely completion and clear communication of deliverables across regions
  • Assist with expense reporting, invoice processing, and other operational tasks
  • Support special projects, events, and strategic initiatives with both local and global impact
  • Maintain discretion and confidentiality in all matters

What We're Looking For

  • 4+ years of experience as an Executive Assistant supporting C-suite executives
  • Experience supporting or coordinating with a board of directors is a strong plus.
  • Global experience is required - you've managed calendars, travel, and stakeholder relationships across multiple regions and time zones, and you know what that complexity actually looks like
  • Experience planning and executing team offsites, executive retreats, or large-scale internal events - including logistics, vendor coordination, and on-site management
  • Experience supporting multiple executives simultaneously, with a proven ability to manage competing priorities without dropping the ball
  • Strong communication skills - written and verbal - with the confidence to interact directly with senior leaders and external partners worldwide
  • High level of discretion, professionalism, and judgment when handling sensitive information
  • Proficiency in Microsoft Office and Google Workspace; familiarity with project management or collaboration tools is a plus
  • Self-starter with a proactive mindset - you anticipate needs before they arise and solve problems before they escalate
  • Strong attention to detail with the ability to stay flexible in a fast-changing environment
  • Must be based in the New York metro area and able to commute to our NYC office as needed

Why Join Podean?

Podean is proud to be recognized as one of Digiday's Best Employers for Remote Employees. We combine the energy of a fast-growing global agency with the balance and trust of a remote-first culture.

You'll join a globally connected, award-winning team that values:

  • Competitive compensation aligned to experience and market benchmarks
  • Remote-first flexibility - work from anywhere, with trust and autonomy
  • Global collaboration - working with experts across regions and time zones
  • Career growth and development - opportunities to evolve as we scale
  • 5-Year Sabbatical + Travel Stipend - After your 5-year anniversary, take a fully paid month-long sabbatical, plus a travel reimbursement to make your experience restorative and inspiring
  • Positive-energy culture - grounded in respect, inclusion, and accountability
  • Meaningful impact helping some of the world's most progressive brands grow
