Summary
As an Administrative Coordinator, you are key in the oversight, organization and management of your assigned department. Your strong attention to detail assures that requirements are met, and daily processes are maintainedefficiently and accurately.
Job Title: Administrative Coordinator
Department: Patient Flow Administration
Location: Riedman Campus - 100 Kings Highway South
Rochester, NY 14617
Hours Per Week: 40, Full-time
Schedule: 8-hour shifts, Monday-Friday, 8:00 a.m.-4:30 p.m.
Required Qualifications
  • Excellent oral and written communication skills
  • Strong organizational, multitasking, and problem-solving skills
  • Strong team collaboration and interpersonal skills
  • High level of proficiency with PC, software applications, and reporting tools

Preferred Qualifications
  • Three (3) years of administrative office experience in healthcare
  • Associate's degree or equivalent combination of education and work experience

Responsibilities
  • Coordinate and obtain prior authorizations for Skilled Nursing Facility (SNF) placements with insurance providers
  • Arrange and schedule patient transportation
  • Monitor authorization and transportation status; escalate time-sensitive issues as needed
  • Communicate with clinical teams, patients or families, SNFs, payers, and transportation vendors to support timely discharges
  • Answer and route incoming calls; provide accurate information as appropriate
  • Organize and maintain patient records and authorization documentation in compliance with HIPAA
  • Assist with Kronos/timecards and general administrative support
  • Manage mail, deliveries, and office supplies
  • Support the onboarding and training of new team members as needed.
  • perform other duties as assigned
