Fulfillment Assistant

Job Description

The overall goal is to provide our patients with a patient-centered experience in our Traditional Chinese Medicine health care center. The Fulfillment Assistant works closely with their Manager as well as the doctors and front desk staff. The job is primarily in Santa Monica, however they may occasionally be required to work in our Pasadena location.

Responsibilities and Duties

  • Regular scheduled work days are Tuesday through Saturday; some flexibility in working schedule required to cover for other team members.
  • Responsible for processing herb orders for patients and handling patient queries regarding their herbs, including processing ingredient list, computing dosage and pricing on patient’s charts.
  • Ensure that all operational policies and procedures are followed within the herb room to ensure the highest level of service to patients.
  • Monitor the quality of herbs and the double checking system to ensure accuracy of all herb orders.
  • Handle and resolve complaints and matters relating to patient herb orders.
  • Maintain record-keeping and documentation for all pick-ups and shipments.
  • Required to move 40-50-lb boxes of inventory at times.
  • Facilitate teamwork and communication among staff and doctors.
  • Participate in setting goals with manager on a regular basis.
  • Arrive to work on time and ready to work independently and accurately.
  • Help maintain and keep the herb room organized, clean and stocked up.

Qualifications and Skills

  • Bilingual in English and Mandarin Chinese
  • Minimum Education: High School Diploma
  • Minimum Experience: One to two years of medical office experience and/or customer service experience preferred
  • Must be detail-oriented to ensure accuracy
  • Able to work well under pressure and multi-task
  • Excellent verbal, written and interpersonal communication skills
  • Problem solving capabilities
  • Dependable and hardworking with a positive, team-player attitude
  • Flexible and willing to assist with duties when and where needed
  • Knowledge of HIPAA and OSHA compliance preferred
  • Basic computer skills (Excel, Word, and Google) with the ability to learn programs as needed
  • Physical requirements daily: Extended periods of standing, some lifting, bending down and reaching up
