Order Fulfillment Coordinator

Position Summary

The Order Fulfillment Coordinator is responsible for maintaining visibility and coordination throughout the order fulfillment process to ensure customer delivery commitments remain achievable and accurately reflected within company systems.

This role serves as the central point of coordination between Sales, Customers, Production, Planning, and Shipping to monitor open orders, identify potential fulfillment risks, maintain delivery schedules, and ensure customer commitments are accurately reflected within company systems. This position does not manage transportation, carrier selection, warehouse operations, or shipment execution activities.

The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities

Order Fulfillment Management

  • Review and monitor all open sales orders to ensure delivery commitments remain achievable.
  • Review open sales orders against inventory availability, work order status, incoming supply, production schedules, and customer requirements to identify gaps that may impact customer delivery commitments.
  • Maintain accurate requested ship dates, promise dates, and fulfillment schedules within the ERP system.
  • Identify potential fulfillment risks and proactively communicate delays, constraints, and schedule changes to internal stakeholders and customers.
  • Coordinate activities required to support on-time order fulfillment and customer delivery commitments.
  • Maintain visibility of open order backlog and fulfillment readiness across the business.

Allocation and Planning Coordination

  • Participate in multiple weekly allocation meetings with Sales teams to review priorities, supply constraints, and customer commitments.
  • Attend S&OP and business planning meetings to maintain visibility of production plans, inventory availability, and fulfillment risks.
  • Support allocation decision-making by providing visibility into customer demand, open orders, and delivery commitments.
  • Monitor incoming containers, inventory receipts, and production progress to understand impacts on customer orders.
  • Escalate potential shortages, delays, and scheduling conflicts that may impact customer commitments.

Customer and Cross-Functional Coordination

  • Serve as a primary point of contact for customer delivery scheduling and fulfillment-related communications.
  • Coordinate with customers regarding requested delivery dates, site readiness, delivery requirements, and scheduling constraints.
  • Partner closely with Sales, Production, Planning, and Shipping teams to ensure fulfillment schedules remain accurate and achievable.
  • Maintain clear communication between departments regarding order status, schedule changes, and fulfillment priorities.
  • Provide timely updates regarding fulfillment status and delivery expectations.

ERP and System Management

  • Maintain fulfillment-related data and scheduling information within ERP and business systems.
  • Ensure requested ship dates, promise dates, fulfillment milestones, and order status information remain accurate and current.
  • Support reporting and visibility related to open orders, fulfillment status, delivery commitments, and schedule accuracy.
  • Assist with process improvements related to order fulfillment, delivery scheduling, and system utilization.

Qualifications

Required

  • Associate degree or equivalent work experience.
  • Minimum 3 years of experience in order management, customer service, sales operations, fulfillment coordination, production coordination, supply chain support, or a related operational role.
  • Experience working within an ERP system.
  • Strong Microsoft Excel and Microsoft Office skills.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to work effectively across multiple departments and levels of the organization.

Preferred

  • Experience in a manufacturing environment.
  • Experience working with SAP, Salesforce, Kenandy, Oracle, NetSuite, Microsoft Dynamics, or similar business systems.
  • Experience supporting allocation, production planning, fulfillment scheduling, or order management processes.
  • Experience working directly with business-to-business customers.
  • Experience participating in S&OP, planning, or allocation review processes.
