Job Summary
GetWell HealthSystems is seeking a compassionate and detail-oriented Front Desk / Medical Assistant to support our Behavioral Health team in Charlestown, Indiana. This role serves as the first point of contact for patients, ensuring a welcoming, confidential, and efficient clinic experience while assisting with both administrative and basic clinical tasks.
Key Responsibilities
Front Desk & Administrative Duties
- Greet and check-in patients in a professional and empathetic manner
- Answer multi-line phone systems, respond to inquiries, and route calls appropriately
- Schedule, confirm, and manage patient appointments
- Verify insurance eligibility and collect co-pays or payments
- Maintain accurate patient records and update electronic health records (EHR)
- Ensure front office cleanliness and organization
- Handle patient intake forms and documentation
- Coordinate communication between patients and behavioral health providers
These are core front-office responsibilities in healthcare settings, including scheduling, record management, and insurance verification
Medical Assistant / Clinical Support
- Assist with patient intake, including medical history and medication review
- Record vital signs when required (BP, weight, etc.)
- Prepare patients for consultations or therapy sessions
- Support providers with documentation and coordination of care
- Monitor patient flow and ensure timely appointments
Medical assistants in behavioral health settings support both clinical and administrative workflows, including intake and documentation
Behavioral Health-Specific Responsibilities
- Maintain strict confidentiality in compliance with HIPAA regulations
- Provide a calm, supportive environment for patients experiencing emotional distress
- Assist with crisis communication by alerting clinical staff when needed
- Demonstrate empathy, professionalism, and discretion in all interactions
Behavioral health front desk roles require strong communication, confidentiality, and emotional awareness
Qualifications
- High school diploma or equivalent (required); Medical Assistant certification preferred
- 1+ year experience in a medical office, behavioral health, or front desk role preferred
- Knowledge of EHR systems and basic medical terminology
- Strong customer service, communication, and multitasking skills
- Ability to handle sensitive situations with professionalism and empathy
