JOB TITLE: Assistant Manager, Operations - Live Events
Reports To: Director of Operations
FLSA Status: Full-Time: Salaried, Exempt
Schedule: Tuesday – Saturday, typically 9:00am – 6:00pm Flexible hours required to support live events, extended operations, weekends, and coverage needs.

The Assistant Operations Manager plays a critical support role within the Operations Department, serving as a daily operational lead and point of continuity across scheduling, labor coordination, logistics, warehouse activity, purchase order maintenance, and invoicing. This role provides extended operational coverage, allowing senior operations leadership to focus on planning, process improvement, and long-term strategy.
Working closely with the Operations & Logistics Manager, Warehouse & Inventory Supervisor, and Labor Resource Manager, the Assistant Operations Manager helps ensure day-to-day execution runs smoothly, resources are aligned, and issues are resolved in real time. This position requires strong organizational skills, clear communication, and the ability to adapt quickly in a fast-paced live event environment.
Daily Operations & Coverage
· Act as contact for daily operations during assigned shifts, including weekends.
· Assist with execution of the daily plan, ensuring labor, equipment, logistics, and timelines are aligned.
· Provide operational coverage when senior operations leadership is in meetings, out of office, or focused on administrative planning.
· Monitor daily progress and respond to real-time operational changes or add-on requests.
Labor Coordination & Scheduling Support
· Review daily and upcoming labor schedules for accuracy and readiness.
· Assist with labor calls, freelancers, and technician assignments.
· Assist with last-minute labor adjustments and coverage needs.
· Support end-of-day labor and resource closeout planning.
Logistics & Resource Support
· Assist with coordinating daily logistics including equipment movement, transportation, and subrentals as needed.
· Communicate updates related to deliveries, pickups, delays, or changes with internal teams.
· Support warehouse and logistics coordination during high-volume event periods.
Planning & Administrative Support
· Review next-day and upcoming weekend operational plans to verify resources are scheduled, secured, and ready.
· Ensure Helm and operational systems are updated accurately.
· Execute projects and assignments delegated by the Operations & Logistics Manager, Labor Scheduler, or Director of Operations.
· Assist with documenting processes, workflows, and operational improvements.
· Assist with Purchase Orders, comparing invoices to actuals, and other administrative paperwork.
Cross Department Collaboration
· Work closely with Warehouse, Creative, Production, Sales, and Technical teams to support event readiness.
· Communicate clearly and professionally with leadership, staff, freelancers, and vendors.
· Help maintain consistency with company standards, workflows, and “The Prestige Way.”

· Familiarity with operations, scheduling, or inventory systems (Helm, IntelliEvent, R2, or similar preferred)
· Working understanding of live event production environments (audio, lighting, video/LED, staging preferred)

Work Environment
· The duties of this position are performed indoors in an office and/or warehouse environment. The noise level in the work environment is usually minimal to moderate during non-event days and moderate to loud during high volume days.
PREFERRED QUALIFICATIONS:
Experience
· 5+ years’ experience in operations, logistics, live event production, or related fields.
Education & Training
· Bachelor’s degree or equivalent professional experience preferred.
· Experience in live events, production management, operations, or logistics environments strongly preferred.
· Certifications such as OSHA 10, Six Sigma are a plus.
