Office Manager

Location: St. Louis, MO (On-site) Job type: Contract-to-hire (6 months) Schedule: 40 hours/week Pay rate: $51–$53/HR Security clearance: Active TS/SCI required; ability to obtain polygraph required

About the role

We’re seeking an experienced Office Manager / Staff Officer to keep a fast-paced office running smoothly. In this role, you’ll be the go-to partner for leadership and staff—owning day-to-day administration, coordinating meetings and events, managing taskers/suspenses, supporting travel, and keeping communication and reporting organized and on time.

What you’ll do

  • Manage calendars, scheduling, and meeting coordination (including conference rooms and VTC/online setup)
  • Prepare and organize materials for briefings, town halls, offsites, and leadership meetings
  • Track and coordinate office taskers/suspenses (e.g., routing, deadlines, responses)
  • Draft, edit, and format correspondence, memos, reports, meeting minutes, and staff summaries
  • Build weekly activity reports and one-time/special reports by synthesizing information from multiple sources
  • Coordinate events and staff meetings: agendas, read-aheads, minutes, and action-item tracking through closeout
  • Support travel logistics (orders/vouchers) and conference planning (experience with DTS/MET is a plus)
  • Maintain office files/records and support information management practices
  • Maintain SharePoint sites, distribution lists, org charts, and recall rosters
  • Help manage permissions/security groups and shared-folder access
  • Handle office logistics (supplies, seating charts, office moves, equipment tickets)
  • Suggest process improvements (checklists, SOPs, and smoother business rhythms)

What you’ll bring (required)

  • Bachelor’s degree in Business, Management, or related field and 7+ years relevant experience (or 10+ years directly applicable experience in lieu of a degree)
  • Strong organization, prioritization, and problem-solving skills in a deadline-driven environment
  • Clear, professional written and verbal communication (able to produce concise, polished materials)
  • High attention to detail and ability to manage multiple competing priorities
  • Comfortable interacting with all levels, including senior leadership and external partners
  • Ability to work independently and collaboratively
  • Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
  • Experience administering/maintaining SharePoint
  • Comfort operating common office/IT equipment (scanners, copiers, phones, VTC tools, etc.)
