Job Title: Director of Donor Services

Exempt/Non-Exempt: Exempt  

Reports to: Chief Development Officer

Position Summary:

The Director of Donor Services provides leadership and oversight for donor services operations, ensuring accurate donor records, timely gift processing, and effective donor support systems. This role partners with Development leadership and teams to support fundraising efforts, donor stewardship, and data-informed decision making in alignment with the mission and values of Wheeler Mission.

Key Duties and Responsibilities

Brief description of duties in order of priority

Key Area: Donor Data and Systems Management

  • Ensure accurate and timely data entry for all gifts, donors, volunteers, and event participants across all giving channels.
  • Maintain the integrity, accuracy, and consistency of the donor database through regular audits and data management processes.
  • Oversee lockbox operations, including procedures, reconciliation, and vendor relationships.
  • Manage data extraction, segmentation, and reporting for direct mail solicitation, and vendor relationships.
  • Maintain donor stewardship data and coordinate internal efforts with direct mail vendors.

Key Area: Donor Services Operations and Support

  • Oversee donor receipting processes, pledge reminders, and donor communications
  • Serve as a liaison for donor data and process needs across Development and other departments.
  • Support the Donor Relations team through reporting, research requests, recording and process management.
  • Maintain a limited portfolio of donors requiring stewardship without deep relationship management.
  • Ensure compliance with donor confidentiality and data security standards.
  • Ensure proper standard operating procedures for Donor Services on acknowledging gifts, receipting, and stewardship practices.

Key Area: Leadership, Training, and Vendor Collaboration

  • Supervise and develop Donor Services staff, including daily task management, training, and professional development.
  • Train staff in donor database usage, data standards, and workflow processes.
  • Manage and support external vendor relationships related to donor services and direct response programs.
  • Train and supervise seasonal or temporary data-entry staff as needed.

 MINIMUM QUALIFICATIONS:

Education/Experience:

  • Bachelor's degree in Business Administration, Nonprofit Management, Information Systems, Accounting, or a related field required
  • 5+ years of related experience
  • 3+ years of leadership or supervisory experience, including oversight of staff responsible for gift processing, receipting, and donor data management.
  • Experience supporting direct response fundraising, donor communications, and stewardship processes.
  • Previous advocacy experience and/or experience in a nonprofit setting preferred.
  • Proven track record in creating and implementing communications strategies with both fundraising and organizational awareness outcomes.

Technical/Software Knowledge:

  • Demonstrated expertise in donor database systems (Raiser’s Edge or similar), including reporting, data integrity, and process oversight.
  • Proficiency in Microsoft Office, including Excel.

Physical Requirements: 

To perform the essential job functions of this position, a candidate must be able to:

  • Operate standard office equipment.
  • Perform normal business activities.
  • Work in an office setting, exclusively on a computer.
  • Occasionally lift products and supplies up to 20 pounds.

Other Requirements for Employment

  • This is a full-time 40-hour position.  Typical work hours will be from 9 a.m. to 5 p.m. but must be willing to work a flexible schedule including nights, weekends, and some holidays. 
  • Travel is primarily local during a business day with travel to WM Bloomington facilities as required.
