Cook Properties is New York State's largest owner and operator of manufactured housing communities. Our portfolio includes more than 100 manufactured home communities totaling over 6,500 home sites. We also own and manage commercial, retail, and office properties, along with self-storage facilities throughout New York State.

We are seeking an experienced and organized Fleet Supervisor to oversee our fleet of vehicles and equipment while supporting the daily operational needs of the company. 


Position Summary 

The Fleet Supervisor is responsible for the full lifecycle management of approximately 75 company-owned vehicles, as well as trailers, commercial mowers, skid steers, mini excavators, and other operational equipment used throughout the organization. This role ensures fleet assets remain safe, reliable, compliant, and cost-effective while minimizing downtime. 

The Fleet Supervisor works closely with employees who operate company vehicles and equipment, coordinates preventative maintenance and repairs, manages fleet acquisitions and dispositions, and partners with the Accounting Department on financing and purchasing decisions. This position also develops strong relationships with repair facilities, service vendors, and equipment rental companies to ensure quality service and competitive pricing. 

In addition to fleet responsibilities, the Fleet Supervisor provides light facilities maintenance at the corporate office and other company-owned properties and assists with snow removal operations during the winter season. 


Essential Responsibilities 

Fleet Operations & Maintenance 

  • Manage preventative maintenance schedules for approximately 75 company vehicles, trailers, commercial mowers, skid steers, mini excavators, and other equipment. 
  • Coordinate required inspections, repairs, and preventative maintenance with internal staff and outside vendors. 
  • Maintain strong relationships with repair facilities to ensure timely, high-quality, and cost-effective service. 
  • Monitor fleet performance and maintain accurate repair histories using company systems. 
  • Ensure compliance with company policies, safety standards, licensing requirements, and applicable DOT regulations. 
  • Respond to vehicle and equipment breakdowns and coordinate repairs to minimize operational downtime. 

Employee Support & Fleet Coordination 

  • Partner with employees who operate company vehicles and equipment to promote proper use and preventative care. 
  • Train employees on daily inspections, safe operation, and maintenance expectations. 
  • Enforce fleet policies and ensure accountability for vehicle and equipment condition. 

Fleet Acquisition & Vendor Management 

  • Evaluate fleet and equipment needs and recommend replacement or expansion purchases. 
  • Partner with the Accounting Department to review financing, leasing, and purchasing options. 
  • Obtain vendor quotes, coordinate purchases, and oversee delivery of new vehicles and equipment. 
  • Manage the sale or disposal of aging fleet assets to maximize resale value. 
  • Maintain relationships with equipment rental vendors and coordinate rentals when operational needs require supplemental equipment. 

Records, Reporting & Budget Management 

  • Maintain accurate fleet records, including titles, registrations, warranties, inspections, and service histories. 
  • Prepare fleet performance and maintenance reports for leadership. 
  • Assist with budgeting and identify opportunities to reduce operating costs and improve fleet efficiency. 

Facilities & Property Support (Secondary Duties) 

  • Perform light repairs and maintenance consistent with a facilities management role at the corporate office and other company-owned properties. 
  • Assist with snow plowing and winter property maintenance. 
  • Support additional operational projects as needed. 


Requirements

Qualifications 

Required 

  • Experience managing a fleet of vehicles and/or heavy equipment. 
  • Strong mechanical aptitude with knowledge of vehicle and equipment systems. 
  • Excellent organizational skills with the ability to prioritize multiple maintenance schedules and projects. 
  • Strong communication and relationship-building skills with employees, vendors, and service providers. 
  • Proficiency with Microsoft Office and fleet maintenance software or similar tracking systems. 
  • Valid driver's license with an acceptable driving record. 

Preferred 

  • Previous experience in automotive, diesel, or equipment repair. 
  • Experience with fleet purchasing, financing, vendor negotiations, and equipment disposal. 
  • Facilities maintenance experience. 
  • Experience operating plow trucks, skid steers, or other light equipment.
