Operations and Administrative Manager

Location: Durham, NC | Employment Type: Full-Time | Salary: $58,000 - $66,000 per year, based on experience

Position Overview:

Green Zone Recycling is seeking a dependable, detail-oriented Operations Support Specialist to support our administrative, operations, logistics, lease management, HR, and fleet-related workflows. This position plays an important role in keeping daily operations organized, accurate, and moving forward in a fast-paced environment.

This is not a remote position and will be based out of our Durham, NC headquarters. Out-of-area candidates must be willing to relocate at their own expense.

Key Responsibilities:

Administrative, HR, and Office Support

  • Provide reliable day-to-day administrative support to leadership, managers, logistics, operations, and office staff.
  • Handle, route, and process company correspondence, including physical mail, electronic mail, voicemails, social media inquiries, and general communications.
  • Manage and maintain office, warehouse, administrative, and employee uniform supply inventories.
  • Assist with onboarding and offboarding tasks, including employee equipment, computers, logins, keys, payroll system entries, and employee documentation.
  • Maintain organized physical and digital records while handling sensitive information with professionalism and discretion.
  • Collaborate with internal and external customers in a professional, responsive, and positive manner.

Operations, Fleet, and Logistics Support

  • Track vehicle maintenance schedules, fleet activity, expenses, invoices, receipts, and supporting documentation.
  • Help coordinate fleet-related logistics, tow requests, bin removals, and other operational support items.
  • Monitor internal electronic communications for operations-related information, including collection point maintenance, competition, field issues, and priority action items.
  • Enter, update, and maintain accurate information in company systems, spreadsheets, and electronic management tools.
  • Prepare reports, update spreadsheets, assist with invoicing, and complete accurate data entry in a timely manner.
  • Follow established procedures and help identify opportunities to improve workflow, organization, and communication.

Required Qualifications

  • Minimum of 1 year of administrative, office support, operations support, or related professional experience; 5 or more years of administrative experience is strongly preferred.
  • Proficiency with Microsoft Outlook, Word, and Excel, including accurate data entry and spreadsheet updates.
  • Strong organizational skills with the ability to manage deadlines, maintain records, prioritize tasks, and follow through on details.
  • Excellent written and verbal communication skills with a professional, service-oriented approach.
  • Ability to work with minimal supervision while staying productive, accurate, and accountable.
  • High level of discretion and professionalism when handling confidential or sensitive information.
  • Strong problem-solving ability, proactive mindset, and willingness to adapt to new software, systems, and workflows.

Preferred Qualifications

  • Bachelor's degree or equivalent combination of education and relevant administrative experience.
  • Experience supporting executive leadership, logistics, transportation, fleet, warehouse, or operations teams.
  • Prior exposure to fleet management tracking, vehicle maintenance records, lease administration, permitting, billing, invoicing, or expense tracking.
  • Strong technical aptitude and ability to quickly learn internal systems and electronic management tools.
  • Experience working in a fast-paced company where priorities may shift throughout the day.
