Job description

THE POSITION

The company is looking for a hardworking, detail-oriented person with positive energy who possesses a significant knowledge of the financial services industry. The position requires a team player mentality and the ability to work well independently. This dynamic position requires a candidate who will possess the highest level of integrity and understands that confidentiality is imperative for success. Professionalism must be maintained under all circumstances. This position will require the candidate to perform a variety of functions daily, including internal and external communications, interaction with clients in person and over the phone, ability to foster trusting relationships, apply a working knowledge of all operations and client-service processes, and ensure that compliance and standards are followed. The position requires someone who possesses:

  • Advanced Administrative Support to the President, Senior Advisors, and Associate Advisors with experience in a professional office setting using a CRM Software (Redtail CRM is preferred).
  • Experience with Riskalyze and Wealthscape, and other Financial Planning software, Orion and financial account custodian websites etc.
  • Knowledge and understanding of brokerage systems and work history within a broker dealer environment.
  • Good working knowledge in MS Office programs (Word, Excel, PowerPoint, and Outlook) is required.
  • Ability to handle all client records and proprietary information with strict confidentiality.
  • Flexibility and willingness to work occasional after hours to meet with clients with the President and/or Advisors as needed and participate as needed for all company events.
  • This person will be dedicated to the firm's growth. The individual will have contact with the firm’s clients including, but not limited to, design and creation of correspondence, annual reviews, business processing, business tracking, resolution, reports, service items, and appointment preparation.
  • FINRA Securities License Series 7 and a Series 63 or 66, as well as Insurance License or a designation as a Paraplanner is highly preferred, but not required.

THE INDIVIDUAL

The ideal individual should possess a proven track record that contributes to a culture of success including at least three years of financial services, insurance, or other professional office experience. Qualities of the individual include:

  • Ability to prioritize multiple tasks and projects, and have superb time management abilities including flexibility, adaptability, and to coordinate the work appropriately with the ability to lead by example.
  • Attention to detail is a must with excellent oral, written, verbal communication, interpersonal and presentation skills, proofreading, and active listening (sit in on client meetings and take thorough and accurate notes).
  • Able to thrive in a fast-paced office environment with the ability to handle multiple responsibilities and take initiatives with the ability to problem solve and exhibit sound judgement while prioritizing; To go above and beyond to get things done and anticipate what may be needed.
  • Provide direct support to all Senior and Associate Advisors and proactively support and work collaboratively in a family-oriented team environment, predicting needs and solve problems proactively.
  • Highly professional with a top-notch work ethic that understands high security and sensitive information regarding all client and office information with all the other team members.
  • Ability to work with and under compliance for all things.
  • 3+ years of administrative experience is required. 3+ years of Financial Services/Broker Dealer Industry is highly preferred.
  • This position is NOT commissions based; it is a full time salaried position.
  • Proactive attitude with the ability to be adaptable in changing situations as needed and willingness to always help and be able to handle themselves under pressure.
  • A bachelor’s degree is preferred but not required. The person having experience in a professional office setting is essential.
