Job description

Heritage Hospice of Holiday Health Care is currently seeking an Office Coordinator to join our team!

Responsibilities:

  • Seeks and obtains sufficient information necessary to function effectively in the hospice office i.e., computer skills, and office machines.
  • Performs within the limits of preparation and experience.
  • Maintains compliance with all applicable laws, regulations, standards, and company policies.
  • Answers hospice office phone in a professional, courteous manner and relays messages to the appropriate hospice team member.
  • Keeps hospice office organized, assures adequate supply of Heritage Hospice information packets, forms, supplies, etc.
  • Orders/replaces employee equipment as needed (cell phones, tablets, laptops, chromebooks).
  • Maintains computer log of equipment signed out by employees.
  • Works cooperatively within the interdisciplinary team.
  • Seeks to provide professional and courteous service.
  • Participates in Quality Assurance program.
  • Assumes responsibility for personal and growth development and upgrading professional knowledge through attendance and participation in continuing education and in-services.
  • Maintains patient/family/caregiver confidentiality at all times.
  • Maintains confidentiality and safety of patient's medical records.
  • Complies with the organization's policies and procedures.
  • Other duties as delegated by the Administrator.
  • Upholds the rights and privileges of all patients & reports immediately to Administrator when it is suspected that these rights & privileges have not been upheld.
  • Participates in Disaster Recovery Business Alliance/Emergency
  • Preparedness as office representative and relays information/education to the hospice team.
  • Updates Emergency File Box.
  • Scan and attaches documents to both employee files and personnel files.
  • Manage medical records.
  • Assists with employee file audits and updating.
  • Maintains various logs (signature, physician & facility profiles, census sheet)
  • Schedules employees for CPR classes.
  • Maintains sign-on folders, patient information folders, and home binders.
  • Maintains employee lists with phone numbers and emergency call down tree.
  • Organized incoming/outgoing mail.
