Job Description Operations Support Specialist Setting/Hours: 100% In-Office | 8-5 Join trak group in partnering with a growing client in Blue Ash, OH that's expanding its Shared Services team. Position Summary We are seeking an Operations Support Specialist to coordinate and oversee transit advertising installation projects from start to finish. This role serves as the central point of communication between Sales, Design, Production, Installation, customers, vendors, and transit authorities to ensure projects are completed accurately, on time, and within budget.

The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced, collaborative environment where managing multiple priorities is key to success. Key Responsibilities Project Coordination Coordinate installation projects across Sales, Design, Print, Installation, vendors, customers, and transit authorities to ensure successful campaign execution. Serve as the primary point of contact for project timelines, updates, deliverables, and customer communications.

Review project orders for accuracy and maintain complete project documentation within the ERP system. Schedule installations by coordinating with customers, installers, subcontractors, sales teams, and transit authorities to meet established timelines. Monitor project progress and proactively communicate status updates while resolving scheduling conflicts.

Operational Support Source, schedule, and maintain strong relationships with subcontractors and vendors. Negotiate vendor services and coordinate project resources as needed. Respond to customer inquiries and resolve installation-related issues to ensure a positive customer experience.

Manage purchase orders and coordinate vendor invoices in partnership with the Finance team. Support operational initiatives and process improvements that increase efficiency and enhance project execution. Collaborate across departments to ensure projects are completed accurately and on schedule.

Qualifications High school diploma or equivalent required; bachelor's degree or equivalent professional experience preferred. Experience in project coordination, operations, customer service, logistics, or a related field preferred. Strong proficiency with Microsoft Office, including Excel, Word, Outlook, and Teams.

Experience with NetSuite or other ERP systems is a plus. Strong organizational, planning, and time management skills. Understanding of project management principles and best practices.

Excellent written and verbal communication skills. Strong customer service and relationship-building abilities. Ability to manage multiple projects simultaneously while meeting deadlines.
