What is a family personal assistant?

Family Personal Assistants are professionals who provide personalized administrative, organizational, and household support to families or individuals. Their duties can include managing schedules, arranging travel, handling correspondence, running errands, and sometimes overseeing household staff or coordinating events. They help busy families streamline their daily lives, ensuring tasks are completed efficiently and that all personal and household needs are met. The role often requires flexibility, discretion, and strong organizational skills.

How does a family personal assistant typically balance multiple tasks and priorities in a busy household?

Family Personal Assistants often juggle a variety of responsibilities, such as managing schedules, coordinating travel, running errands, and overseeing household staff. To stay organized, they rely on strong time management skills, detailed to-do lists, and effective communication with family members and other staff. It's common to use digital tools like shared calendars and task management apps to prioritize urgent requests and ensure nothing falls through the cracks. Flexibility is key, as priorities can shift quickly in a dynamic household environment.

What are the key skills and qualifications needed to thrive as a family personal assistant, and why are they important?

To thrive as a Family Personal Assistant, you need excellent organizational abilities, time management skills, discretion, and prior experience in household or administrative roles. Familiarity with scheduling software, household management apps, and sometimes a valid driver’s license or CPR certification are typically expected. Outstanding interpersonal skills, flexibility, and problem-solving abilities help you anticipate needs and build trust with the family. These skills ensure smooth daily operations, confidentiality, and responsive support tailored to the family's unique requirements.

Job description

Our client, a confidential UHNWI is seeking an experienced Personal Assistant to support her daily needs.

Location: Beverly Hills, CA | Onsite 5x per week

Compensation: $100,000–$140,000 Base + Benefits

The Opportunity

A private high net worth individual is seeking an exceptional Personal Assistant to provide comprehensive day to day support from their Beverly Hills residence. This is a highly trusted position for someone who is polished, proactive, exceptionally organized, and comfortable managing the many moving pieces of a busy personal and professional life.

The ideal candidate is a natural problem solver who anticipates needs before they arise, exercises excellent judgment, and understands the discretion required when working within a private household. This individual should enjoy creating order, keeping schedules and priorities on track, and handling everything from everyday logistics to last minute requests with professionalism and ease.

This position is onsite in Beverly Hills and requires flexibility outside of traditional business hours as needed.

What You'll Do

Calendar & Scheduling

  • Manage a dynamic personal calendar, appointments, reservations, meetings, social engagements, and household commitments.
  • Coordinate schedules across family members, household staff, professional contacts, vendors, and outside parties.
  • Anticipate scheduling conflicts and proactively adjust priorities to keep the principal’s day running smoothly.
  • Provide reminders, daily itineraries, and relevant information in advance of appointments and commitments.

Travel & Lifestyle Management

  • Coordinate domestic and international travel, including flights, hotels, ground transportation, dining reservations, activities, and detailed itineraries.
  • Manage last minute travel changes and ensure all logistics are handled seamlessly.
  • Research and coordinate restaurants, events, entertainment, appointments, gifting, and other personal requests.
  • Maintain awareness of preferences and important details to provide highly personalized support.

Personal & Household Support

  • Serve as a primary point of contact for personal matters and help manage the principal’s day to day priorities.
  • Coordinate household vendors, service providers, maintenance appointments, deliveries, and other residential needs.
  • Partner closely with household staff and outside professionals to ensure projects and requests are completed efficiently.
  • Manage personal shopping, returns, gifting, errands, and special requests.
  • Track household and personal projects from initiation through completion.
  • Assist with event planning, dinners, celebrations, and guest arrangements as needed.

Administrative & Financial Coordination

  • Manage personal correspondence, paperwork, memberships, subscriptions, renewals, and important records.
  • Track receipts, invoices, expenses, reimbursements, and household purchases.
  • Liaise with accountants, business managers, attorneys, insurance professionals, and other advisors when appropriate.
  • Maintain organized digital and physical files while handling sensitive information with complete confidentiality.

What We're Looking For

  • 5+ years of experience supporting a high net worth individual, family, executive, celebrity, family office, or private household.
  • Exceptional organizational and time management skills with meticulous attention to detail.
  • Highly proactive with the ability to anticipate needs rather than wait for direction.
  • Strong judgment and the ability to independently prioritize competing requests.
  • Polished and professional while remaining warm, approachable, and service oriented.
  • Comfortable operating in a fast-paced environment where priorities can change quickly.
  • Strong written and verbal communication skills.
  • Tech savvy and comfortable learning new platforms and systems.
  • Ability to maintain the highest level of discretion and confidentiality.
  • Valid driver's license and reliable transportation.
  • Flexibility to work outside of standard business hours when necessary.
  • Ability to travel occasionally is preferred.

The Right Fit

This role is best suited for someone who genuinely enjoys being a Personal Assistant and takes pride in making another person's life easier. You are resourceful, calm under pressure, thoughtful about the smallest details, and always several steps ahead. No task is too big or too small, and you understand how to balance urgency with discretion.

You know when to take initiative, when to ask a question, and when to simply handle something. Above all, you are trustworthy, dependable, and looking for a long-term opportunity where you can become an invaluable partner to the principal.
