What is a family personal assistant?

Family Personal Assistants are professionals who provide personalized administrative, organizational, and household support to families or individuals. Their duties can include managing schedules, arranging travel, handling correspondence, running errands, and sometimes overseeing household staff or coordinating events. They help busy families streamline their daily lives, ensuring tasks are completed efficiently and that all personal and household needs are met. The role often requires flexibility, discretion, and strong organizational skills.

Search & Comparison IntentYesYes

While both roles support private households, a Family Personal Assistant primarily handles personal scheduling, errands, and administrative tasks for a family member. A Household Manager oversees the entire household operations, including staff management and estate maintenance. The roles often overlap but differ in scope and responsibilities.

How does a family personal assistant typically balance multiple tasks and priorities in a busy household?

Family Personal Assistants often juggle a variety of responsibilities, such as managing schedules, coordinating travel, running errands, and overseeing household staff. To stay organized, they rely on strong time management skills, detailed to-do lists, and effective communication with family members and other staff. It's common to use digital tools like shared calendars and task management apps to prioritize urgent requests and ensure nothing falls through the cracks. Flexibility is key, as priorities can shift quickly in a dynamic household environment.

What are the key skills and qualifications needed to thrive as a family personal assistant, and why are they important?

To thrive as a Family Personal Assistant, you need excellent organizational abilities, time management skills, discretion, and prior experience in household or administrative roles. Familiarity with scheduling software, household management apps, and sometimes a valid driver’s license or CPR certification are typically expected. Outstanding interpersonal skills, flexibility, and problem-solving abilities help you anticipate needs and build trust with the family. These skills ensure smooth daily operations, confidentiality, and responsive support tailored to the family's unique requirements.

Job description

Full-Time Family & Personal Assistant

We are a busy family looking for a reliable, organized, energetic, and caring Family & Personal Assistant to help keep our household and children's schedules running smoothly.
Our children are school-aged, so this is a unique combination of helping with the kids before and after school and assisting with personal, household, administrative, and occasional marketing projects during the school day.
We're looking for someone who enjoys variety, likes staying busy, and is the type of person who sees something that needs to be done and takes care of it.

Typical Day:
Morning:
  • Arrive around 7:30 AM
  • Prepare a simple breakfast for the kids
  • Help make sure they have what they need for school
  • School drop-off
During School Hours:
  • Run errands, returns, pickups, and deliveries.
  • Help organize areas of the home
  • Keep household supplies organized and stocked
  • Coordinate appointments, deliveries, and service providers
  • Help with packages, gifts, returns, and miscellaneous personal tasks
  • Assist with basic administrative projects, research, organization, and data entry
  • Make occasional calls and follow up with vendors
  • Help prepare for family trips, birthdays, parties, and events
  • Assist with marketing/community events, giveaways, supplies, and event preparation
  • Help with social media or marketing projects depending on experience
  • Work on miscellaneous projects as needed
Afternoon:
  • School pickup
  • Drive kids to tutoring, appointments, activities, etc
  • Help keep their schedules organized and get them settled and organized for the next day

Who We're Looking For:
The right person is:
  • Dependable and punctual
  • Warm and comfortable with school-aged children
  • Organized and detail-oriented
  • Proactive and able to work independently
  • A safe and confident driver
  • Comfortable running errands throughout Orange County
  • Tech-savvy and willing to learn
  • Flexible and happy to help with different types of tasks
  • Positive, energetic, and easy to work with
  • Trustworthy and respectful of our family's privacy
  • Looking for a stable, long-term position

Requirements:
  • Valid driver's license and clean driving record
  • Reliable transportation
  • Comfortable transporting children
  • Ability to pass a background check
  • Comfortable using a smartphone, email, Google Docs/Sheets, and basic computer programs
  • Prior childcare, family assistant, personal assistant, or administrative experience is a plus but not required

About the Role:
This is not a traditional nanny or housekeeping position. Our children are in school for much of the day, and we want someone who can use that time productively, helping with the many things that keep a busy family running.
Some days may involve more time with the kids. Other days may involve errands, organizing, preparing for an event, helping with a marketing project, making appointments, or tackling a list of things that need to get done.

We're less concerned about having the perfect résumé and more interested in finding someone who is responsible, resourceful, trustworthy, great with kids, and willing to jump in and help.
Our goal is to find someone who can become a dependable part of our family's daily routine and stay with us long-term.
