Family Personal Assistants are professionals who provide personalized administrative, organizational, and household support to families or individuals. Their duties can include managing schedules, arranging travel, handling correspondence, running errands, and sometimes overseeing household staff or coordinating events. They help busy families streamline their daily lives, ensuring tasks are completed efficiently and that all personal and household needs are met. The role often requires flexibility, discretion, and strong organizational skills.

How does a family personal assistant typically balance multiple tasks and priorities in a busy household?

Family Personal Assistants often juggle a variety of responsibilities, such as managing schedules, coordinating travel, running errands, and overseeing household staff. To stay organized, they rely on strong time management skills, detailed to-do lists, and effective communication with family members and other staff. It's common to use digital tools like shared calendars and task management apps to prioritize urgent requests and ensure nothing falls through the cracks. Flexibility is key, as priorities can shift quickly in a dynamic household environment.

Job description

About the Company

The Personal Assistant, Lifestyle Concierge & Travel Companion works directly for the Principal, operating on a 24/7 on-call basis, blending traditional personal-assistant duties with hands-on lifestyle concierge service and in-person travel companionship. This role is structured alongside a separate Personal Assistant supporting Mrs. and the adult children, and a separate Executive Assistant covering standard office hours (8:00 AM – 6:00 PM); this role's responsibilities and availability extend beyond that fixed schedule to match the Principal's movements, including evenings, weekends, and holidays.

About the Role

Compensation: $200,000 - 275K base

Schedule: 24/7 on-call for the Principal (distinct from the Mrs./children PA and the 8am–6pm EA roles)

Travel: 50–60% travel; approx. 16 weeks per year aboard the yacht

Relocation: Open to offering relocation assistance for the right candidate

Responsibilities

  • Serve as the Principal's right hand, ensuring daily activities, movements, and personal logistics are executed with precision and meticulous attention to detail.
  • Provide hands-on, anticipatory support throughout the Principal's day, ensuring readiness and seamless transitions between engagements.
  • Accompany the Principal during all business and personal travel, maintaining constant awareness and professional composure.
  • Manage daily essentials, wardrobe preparation, and meal arrangements while ensuring a refined and comfortable environment.
  • Execute errands, personal shopping, and ad hoc requests efficiently and discreetly.
  • Coordinate closely with the separate PA supporting Mrs. and the adult children, and with the Executive Assistant, to keep the Principal's office aligned across all households and schedules.

Qualifications

  • Minimum of a Bachelor’s Degree or equivalent experience.
  • Proven experience supporting private principals, high-profile individuals, or C-suite executives in a personal assistant or body person role.
  • Demonstrated experience with extensive domestic and international travel, including private aviation.
  • Prior yacht travel experience strongly preferred, given the approximate 16 weeks per year aboard.

Required Skills

  • Strong organizational skills, meticulous attention to detail, and the ability to adapt to fluid, demanding environments.
  • Impeccable discretion and confidentiality.
  • Exceptional interpersonal skills with refined etiquette and situational awareness.
  • Advanced proficiency in Microsoft Office Suite, Asana, Claude/AI tools, iPhone/iPad technology, and travel-related software.
  • Ability to work long hours, weekends, and holidays as required by the Principal's schedule, and to travel 50–60% of the time.
  • Valid passport and driver's license with a clean driving record.
  • Must pass comprehensive background and drug screenings.
  • Ability to anticipate needs, problem-solve independently, and remain composed in high-pressure situations.
  • Physically fit, alert, and capable of handling extended hours and rigorous travel schedules.
  • Professional appearance and demeanor at all times.
  • Open to relocation, with relocation assistance available for the right candidate.

Preferred Skills

  • Prior experience supporting private aviation travel required, including familiarity with private terminal (FBO) procedures, flight crew coordination, customs/immigration processes, and provisioning for private flights.
  • Available for approximately 16 weeks per year aboard the yacht, working alongside crew and captain to manage the Principal's personal needs, guest logistics, and provisioning while underway or at port.
  • Manage packing, unpacking, and inventory of personal belongings with exceptional accuracy and organization.
  • Advance upcoming travel and site arrivals to ensure all details
  • Tech savvy can build out programs in Asana and Claude
  • Collaborate closely with the Executive Protection Team and household staff to ensure readiness, safety, and efficiency across all travel and transitions.

Equal Opportunity Statement

Represent the Principal and the Principal's Office with the highest standards of professionalism, tact, and discretion. Maintain strict confidentiality regarding all personal, business, and family matters. Display impeccable grooming, situational awareness, and refined etiquette in all interactions. Work extended hours, weekends, and holidays as required by the Principal's schedule, consistent with the 24/7 nature of this role. Operate as a trusted, contributing member of the Principal's Office team — supporting additional projects or initiatives as needed.
