Position Summary

The Import / Export Manager is responsible for the end-to-end coordination, compliance, and execution of international logistics activities. This role is highly hands-on and manages the full lifecycle of shipments-from purchase order through final delivery-while ensuring compliance with all applicable regulations.

The position requires deep operational involvement in both import and export processes, including documentation, customs compliance, vendor coordination, and carrier management. The role operates with a high degree of independence and serves as the primary subject matter expert for international trade and logistics.

Key Responsibilities

1. International Logistics & Operations

  • Manage daily import and export shipments across all modes (ocean, air, ground, parcel).
  • Coordinate bookings with freight forwarders, Customs Brokers, carriers, and logistics service providers.
  • Track shipments end-to-end and ensure timely movement and delivery.
  • Serve as the primary liaison between suppliers, logistics providers, internal stakeholders, and customers.
  • Communicate shipping requirements and instructions to international suppliers.

2. Import & Export Documentation

  • Prepare, review, and manage all required international shipping documentation, including:
    • Commercial invoices, packing lists, bills of lading/air waybills
    • Import Security Filings (ISF)
    • Certificates of origin and free trade documentation
    • Regulatory certificates (e.g., NOAA, FDA, USDA, phytosanitary, etc., as applicable)
  • Ensure documentation accuracy and completeness prior to shipment and customs clearance.
  • Maintain shipment records in compliance with regulatory requirements.

3. Trade Compliance & Regulatory Management

  • Ensure compliance with all applicable import/export regulations, including:
    • U.S. Customs (CBP), FDA, USDA, and other government agencies
    • Export Administration Regulations (EAR) and Foreign Trade Regulations
    • HTS classification, valuation, country of origin determination
    • Denied party screening requirements
  • Manage customs broker relationships and oversee entry processing and clearance.
  • Monitor entries, duty payments, and post-entry activities, including audits and corrections.
  • Oversee recordkeeping programs and ensure audit readiness.

4. Carrier & Vendor Management

  • Select, manage, and evaluate freight forwarders, customs brokers, and carriers.
  • Negotiate rates and service agreements across air, ocean, and ground transportation.
  • Monitor service performance and resolve operational issues.
  • Control and optimize international freight spend.

5. Problem Resolution & Continuous Improvement

  • Troubleshoot shipment delays, customs holds, and documentation issues.
  • Identify process inefficiencies and implement improvements.
  • Maintain up-to-date knowledge of changing global trade regulations and communicate impacts.
  • Develop and refine standard operating procedures for international logistics.

6. Cross-Functional Coordination

  • Partner with procurement, planning, finance, and operations teams to align logistics activity with business needs.
  • Support product launches, special shipments, and new supplier onboarding.
  • Interface with government agencies and regulatory bodies as needed.

Qualifications

Education & Experience

  • Bachelor's degree in Supply Chain, International Business, Logistics, or related field preferred (or equivalent experience).
  • 8+ years of experience in import/export logistics operations.
  • Experience in a small or mid-sized operation with hands-on responsibility strongly preferred.
  • Experience working with customs brokers, freight forwarders, and regulatory agencies.

Technical Knowledge

  • Strong knowledge of:
    • U.S. import/export regulations (CBP, FDA, USDA, etc.)
    • HTS classification, valuation, and country of origin rules
    • Incoterms
    • Customs entry processes and duty programs
    • AES filing, ISF requirements
    • Free Trade Agreements
    • Hazardous materials regulations (49 CFR, IATA, IMDG) preferred

The approximate pay range for this position is $140,000 to $150,000. Please note that the pay range provided is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including but not limited to knowledge, skills and abilities as well as geographic location.
