Administrative/Clerical - Administrative Assistant | Littleton, Colorado, United States Administrative/Clerical - Administrative Assistant (Hybrid Chief of Staff/Executive Assistant - Defense/Aerospace) About the Role Join a high-impact, fast-paced defense aerospace team as a trusted thought partner to a global Vice President. Based in Littleton, CO (with hybrid flexibility), you'll play a pivotal role supporting executive operations across six worldwide sites. This is more than an administrative job-your proactive leadership and precise execution will directly influence the VP's effectiveness and the organization's success. Responsibilities - Masterfully manage complex, multi-time zone executive calendars, meetings, and logistics with foresight and professionalism. - Coordinate seamless domestic and international travel and process expense reports (Concur/BCD) with absolute accuracy. - Plan high-visibility site operations, events, and town halls-overseeing logistics, AV, catering, and security. - Drive adoption and maintenance of digital collaboration tools (Teams, SharePoint, DX platforms). - Draft clear, compelling executive communications, presentations, and correspondence for internal and external stakeholders. - Identify process improvements, streamline workflows, and implement solutions to enhance efficiency. - Provide research, data analysis, and strategic support as a trusted advisor to executive leadership. Required Skills and Experience - Minimum 3-6 years supporting senior executives (VP level or above) in defense, aerospace, or government contracts. - Expert in complex calendar, travel, and expense management (Concur/BCD). - Skilled in Microsoft Office, Teams, SharePoint, and rapid adoption of new digital tools. - Proven ability to manage high-pressure situations and shifting priorities with discretion and exceptional organization. - Experience coordinating large-scale meetings, events, and site logistics. - US Citizen eligible for Secret Clearance; ability to juggle multiple high-priority tasks. - Experience leading or mentoring administrative teams. - Active Secret Clearance. - Demonstrated success in process improvement and change management.
