Executive Initiatives Coordinator - Education, Training and Research


Location: Edmonton, AB

Position Status: One (1) Full-time (40 hours/week), One Year Contract (with possibility of extension)


The Otipemisiwak Metis Government is seeking an Executive Initiatives Coordinator within the Education, Training and Research Department in Edmonton, Alberta. Reporting to the Manager - Executive Initiatives and Communications, the Executive Initiatives Coordinator provides administration, coordination, and project support to the Manager of Executive Initiatives and Communications and the Education, Training and Research leadership team. The position plays an important role monitoring and supporting the implementation of departmental strategic initiatives, coordinating reporting activities, maintaining planning and tracking tools, and ensuring information is organized, accurate, and available to support effective decision-making. Working closely with the Manager of Executive Initiatives and Communications, the position assists with the coordination of departmental work plans, strategic initiatives, performance reporting, communications activities, and executive support functions.

The position also provides administrative and executive support to departmental leadership, including coordinating meetings, preparing agendas and materials, maintaining records, supporting communications activities, and assisting with the preparation of reports, presentations, briefing materials, and correspondence. The Executive Initiatives Coordinator serves as a key point of coordination within the department, helping ensure priorities are organized, deadlines are met, and information flows effectively across teams.

Key Responsibilities

  • Provide administrative and coordination support for the Manager of Executive Initiatives and Communications as well as the Education, Training and Research leadership team.
  • Coordinate calendars, meetings, agendas, meeting materials, logistics, action items, and follow-up activities for strategic planning, leadership, and project meetings.
  • Maintain departmental work plan trackers, action item logs, project schedules, and reporting tools to support strategic initiatives and operational priorities.
  • Assist with the coordination and monitoring of departmental strategic initiatives, projects, and organizational commitments.
  • Collect, organize, and maintain data, reports, and documentation required for strategic planning, performance measurement, and reporting activities.
  • Support the preparation of reports, dashboards, presentations, briefing notes, summaries, correspondence, and other materials for leadership, governance, partners, funders, and stakeholders.
  • Assist with maintaining performance measurement tools, reporting frameworks, databases, and document repositories.
  • Track deadlines, deliverables, milestones, and reporting requirements, ensuring timely completion and follow-up.
  • Coordinate the development, review, formatting, and distribution of departmental reports, communications materials, newsletters, presentations, and announcements.
  • Support departmental communications activities, including content development, document preparation, stakeholder communications, and information distribution.
  • Maintain electronic and physical records, filing systems, templates, and departmental resources.
  • Assist with planning and coordinating meetings, events, consultations, workshops, and stakeholder engagement activities.
  • Support the development and maintenance of departmental procedures, templates, tools, and administrative processes.
  • Liaise with internal departments, external partners, and stakeholders to gather information and coordinate activities on behalf of the Manager and leadership team.
  • Monitor incoming correspondence, requests, and inquiries, ensuring they are routed appropriately and responded to in a timely manner.
  • Provide general executive support, including document preparation, travel coordination, scheduling, expense tracking, and administrative assistance.
  • Contribute to a collaborative, professional, and service-oriented work environment.
  • Perform other related duties as assigned.

  • Knowledge of Metis history, culture, and issues affecting Metis people. An in-depth understanding of the Otipemisiwak Metis Government and Metis culture is an asset.

Qualifications

  • Post-secondary diploma or degree in Business Administration, Office Administration, Project Management, Communications, or a related field; equivalent experience may be considered.
  • Minimum five (5) years of experience in senior administrative support, project coordination, program support, or operational coordination roles.
  • Experience supporting complex projects, multiple stakeholders, and fast-paced operational environments.
  • Strong organizational, communication, and problem-solving skills.
  • Experience working with Indigenous organizations, governments, or community-based initiatives is considered an asset.


Other Requirements

  • Ability to work a regular schedule Monday - Friday, 8:30 AM - 4:30 PM, with weekend and evening availability, as required.
  • Ability to travel throughout Alberta, on short notice, as required.
  • Reliable transportation and a valid Class 5 driver's license.
  • Submission of a Police Information Check.
