Job Description

Are you an experienced Executive Assistant who thrives on keeping senior leaders organized while creating an exceptional workplace experience for employees and customers?

Rockwell Automation is seeking a highly organized, proactive, and service-oriented Executive Administrator & Office Operations Coordinator to support senior leadership while serving as the primary office operations contact for our Calgary location.

This newly created role is ideal for someone who enjoys partnering closely with executives while also taking ownership of creating a professional, welcoming, and efficient office environment.

As Calgary serves as a key hub for Western Canada, you'll play an important role in supporting leaders, employees, customers, and visitors while helping ensure our office operates smoothly every day.

What You'll Do

Executive Support (80%)

  • Provide high-level administrative support to a Global VP
  • Manage complex calendars, scheduling priorities, and executive communications.
  • Coordinate domestic and international travel arrangements, itineraries, expenses, and logistics.
  • Prepare presentations, reports, meeting materials, and correspondence, often involving confidential information.
  • Organize leadership meetings, customer meetings, and special events.
  • Track action items, deadlines, budgets, purchase orders, and expense reporting.
  • Anticipate executive needs, proactively resolve conflicts, and ensure leaders remain focused on business priorities.
  • Build strong partnerships across all levels of the organization.

Office Operations & Employee Experience (20%)

  • Serve as the primary point of contact for Calgary office operations.
  • Coordinate facilities vendors, maintenance activities, office services, and workplace requests.
  • Ensure meeting rooms, boardrooms, and customer-facing spaces are fully functional and presentation-ready.
  • Support onboarding activities, workspace setup, building access, and office logistics for new employees.
  • Coordinate customer visits, catering, and workplace events.
  • Manage office supplies, shipping and receiving activities, and vendor relationships.
  • Help create an engaging, professional workplace that employees and visitors enjoy.

The Essentials - You will have

  • High School Diploma or equivalent.

The Preferred - You may also have

  • Advanced user of Microsoft Office Suite.
  • Exceptional organizational, communication, and prioritization skills.
  • Ability to manage highly confidential information with discretion and professionalism.
  • 4+ years of experience supporting executives, senior leaders, or office operations.
  • Previous Executive Assistant, Senior Administrative Assistant, or Office Administrator experience.
  • Experience coordinating travel, events, facilities, and administrative operations.
  • Strong PowerPoint user, able to create customer quality presentations
  • Experience with SharePoint and collaboration tools.
  • Professional, customer-focused approach with a strong attention to detail.
  • Calgary-based with the ability to maintain a regular and flexible onsite presence.
