Job description

The Alberta Centre to End Trafficking in Persons (the AC) is an organization that works in collaboration with community-based organizations and in partnership with the Ministry of Public Safety and Emergency Services to ensure the most effective supports are available for the victims and survivors of human trafficking. The AC works with law enforcement, community organizations and social service providers to provide anti-human trafficking education and awareness and maintain engagement within the community to assist victims and survivors in a trauma-informed, inclusive, and culturally appropriate manner. It is responsible for spearheading provincial human trafficking related strategies, initiatives, partnerships, collaborations, and capacity-building activities. The Executive Assistant will report to the Co-CEOs and, additionally, will support the leadership team.


The Position

Reporting to the Co-CEOs, the Executive Assistant provides overall senior level administrative support to the Executive Leadership Team and the Board Chair. The Executive Assistant is a strategic partner and represents the brand of the AC in all dealings with external and internal stakeholders.



Accountabilities

  • Perform duties in a manner that is consistent with and committed to upholding the brand of the AC as a whole
  • Consistently maintain the confidentiality and the integrity of the Co-CEOsโ€™ office in all matters
  • Able to perform effectively and efficiently in a dynamic and fast-paced environment
  • Support the Co-CEOs including calendar management (setting up meetings, sending invitations to external stakeholders), file management and organization, composing and reviewing documents and email management
  • Book travel, conferences and events for the Co-CEOs and Executive Leadership Team as needed
  • Coordinate the logistics with high-level meetings both internally and externally to include support for the Executive Leadership Team meetings and following up on assigned action items
  • Provide technical assistance including, but not limited to, making the setup and execution of conference calls and presentations, uploading reading and prep materials onto appropriate technology, suggest improvements, and implement changes where appropriate
  • Support Co-CEO communications, including drafting letters, emails, memos, internal and external (including Board) communications, PowerPoint presentations, and other materials, and proofreading all work to ensure accuracy and brand conformity
  • Document projects by maintaining accurate records including project plans, progress reports, and meeting minutes


Board of Directors

  • Provide administrative support and for meetings of Boards of Directors and sub-committees of the Board:
  • Coordinate the agenda and special guests and ensure all Board agendas are complete
  • Compile pre-read materials and ensure final documents are compiled and posted to the Board Portal in a timely manner
  • Attend all Board and sub-committee meetings and prepare minutes
  • Maintain calendar invites and Board and sub-committee distribution lists
  • Book meeting venues and arrange catering as required or Teams meeting links as needed
  • Work closely with the Executive Leadership Team to prepare for matters related to the Board of Directors
  • Support the planning of annual Board Strategy Meeting
  • Manage access to the Board Portal with the support of the IT department and act as first point of contact for Board Portal troubleshooting


Skills and Traits

  • Strong and reliable technical skills with core programs, including Microsoft Office programs, Adobe, Google Workspace, Dropbox, and other software proficiency is required
  • Competent in navigating multiple file types and transitioning between platforms as needed
  • Proven organization and time management skills with the ability to effectively manage time, prioritize workflows and schedules, respond to varied and often tight deadlines and effectively balance competing stakeholders and agendas
  • Excellent interpersonal skills with the ability to deal with colleagues, partners, and stakeholders
  • Demonstrate ability to maintain confidentiality and exercise tact and discretion in dealing with sensitive and confidential matters
  • Proven ability to organize and manage Committee and Board meetings and materials

Education and Experience

  • Post-secondary diploma in business or relevant diploma/degree
  • Minimum of five yearsโ€™ related administrative experience including progressive support of senior level management
  • Excellent technical and administrative skills with focus on accuracy and attention to detail
  • Excellent interpersonal skills with a proven ability to work effectively with diverse partners
  • Proven organizational, coordination, and planning skills with demonstrated expertise in schedule and calendar management
  • Experience providing administrative support for a Board of Directors
  • Certification through an accredited administrative professionalโ€™s association including IAAP (International Association of Administrative Professions) or other relevant program is an asset


Employment Terms

This is a full-time contract position. It is 37.5 hours/week with hybrid work routines as an option. The ideal candidate will be in the Calgary, Alberta area and have ability and willingness to travel as required.
