Role Overview
The Legal Assistant / Paralegal to the General Counsel provides high-level legal, administrative, and executive support to the General Counsel of a large, complex company. This role serves as a trusted, highly organized, and discreet direct report responsible for managing the General Counsel's calendar, email flow, travel, correspondence, document preparation, legal department coordination, and confidential records. The position requires exceptional proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, and related collaboration tools, as well as strong judgment, attention to detail, confidentiality, and the ability to manage competing priorities in a fast-paced legal and executive environment.
Key Responsibilities
• Provide direct, confidential, and proactive support to the General Counsel, including managing daily priorities, anticipating needs, coordinating follow-up items, and ensuring the General Counsel is prepared for meetings, calls, travel, and deadlines.
• Manage complex calendar and scheduling requirements, including executive meetings, Board and committee-related meetings, internal legal department meetings, outside counsel calls, cross-functional meetings, and time-sensitive legal or business deadlines.
• Monitor, organize, prioritize, and help manage the General Counsel's email and correspondence flow, including identifying urgent matters, preparing draft responses, tracking commitments, and coordinating timely follow-up while maintaining appropriate confidentiality.
• Draft, proofread, format, and edit professional letters, memoranda, reports, presentations, meeting materials, agendas, minutes, resolutions, signature packages, and other legal or executive documents under attorney supervision.
• Serve as an expert user of Microsoft 365 tools, including Outlook calendar and mailbox management, Word document formatting and redlines, Excel tracking spreadsheets, PowerPoint presentations, Teams meetings and channels, OneDrive file sharing, and SharePoint document organization.
• Book and manage domestic and international travel for the General Counsel and, as needed, legal department personnel, including flights, hotels, ground transportation, itineraries, visas or travel documentation coordination, expense reports, and schedule adjustments.
• Maintain legal department files, matter records, contract files, corporate governance materials, Board-related materials, and confidential documents in accordance with company policies, legal hold requirements, and document retention expectations.
• Assist with legal operations and department administration, including matter intake, invoice routing, budget or accrual tracking, outside counsel coordination, vendor setup, signature tracking, document execution, and status reporting.
• Coordinate logistics for legal department meetings, leadership meetings, Board or committee preparation sessions, trainings, and special projects, including preparing materials, managing invitations, organizing files, and capturing action items.
• Support basic paralegal tasks under attorney supervision, including legal research, document collection, factual summaries, corporate record maintenance, contract administration support, litigation or investigation file organization, and preparation of routine legal forms or correspondence.
• Act as a professional liaison between the General Counsel, internal executives, employees, outside counsel, auditors, vendors, and other external stakeholders, ensuring communications are timely, accurate, polished, and appropriately handled.
• Handle highly sensitive and confidential legal, business, employment, compliance, governance, and executive information with discretion, sound judgment, and strict adherence to company policies and attorney-client privilege considerations.
Basic Qualifications
• Associate's or bachelor's degree preferred; paralegal certificate, legal studies coursework, or equivalent legal administrative experience strongly preferred.
• Minimum of ten (10) years of progressively responsible experience as a legal assistant, executive assistant, paralegal, legal administrative coordinator, or similar role supporting senior attorneys, executives, or a corporate legal department.
• Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, and collaborative document management practices.
• Advanced proficiency with legal technology platforms, including Legal Tracker, HighQ, Ironclad, and other legal matter management, contract lifecycle management, document management, and e-billing systems.
• Demonstrated ability to manage complex calendars, competing priorities, executive email flow, confidential information, travel arrangements, meeting logistics, and time-sensitive assignments with minimal supervision.
• Strong drafting, proofreading, formatting, and document production skills, with the ability to prepare polished letters, memoranda, presentations, reports, meeting materials, and routine legal documents.
• Excellent communication, organization, judgment, discretion, follow-through, and interpersonal skills, with the ability to interact professionally with executives, attorneys, employees, outside counsel, and external stakeholders.
Preferred Qualifications
• Prior in-house legal department experience supporting a General Counsel, Chief Legal Officer, Corporate Secretary, or senior legal executive in a large company.
• Experience supporting corporate governance, Board or committee materials, legal department operations, contract administration, litigation support, compliance matters, or outside counsel coordination.
• Experience using legal matter management, e-billing, contract management, document management, e-signature, or case management systems.
• High proficiency with executive travel planning, expense reporting, international time zones, meeting preparation, and stakeholder coordination across multiple offices or regions.
• Notary commission, paralegal certification, or additional training in legal operations, corporate governance, records management, or Microsoft 365 administration is a plus.
• Comfortable working across international time zones, supporting urgent executive needs, and coordinating with internal and external stakeholders in a professional, responsive, and service-oriented manner.
Knowledge, Skills & Education
Education and/or Experience: Significant legal administrative, paralegal, or executive support experience in a corporate legal department, law firm, or similarly complex professional environment. Experience should include calendar and email management, legal document preparation, file organization, travel coordination, meeting support, confidential correspondence, and direct support to senior attorneys or senior executives.
Language Skills: Must be able to speak, read, and write fluently in English. Must be able to draft, proofread, format, and edit clear professional correspondence, letters, memoranda, agendas, minutes, presentations, and routine legal or business documents.
Reasoning Ability: Strong judgment, prioritization, and problem-solving skills, with the ability to identify urgent issues, manage confidential information appropriately, track multiple deadlines, anticipate next steps, and escalate matters when needed.
Computer Skills: Expert-level proficiency with Microsoft 365 is required, including Outlook, Word, Excel, PowerPoint, Teams, OneDrive, and SharePoint. Must be highly skilled in calendar management, email organization, document formatting, redlining, file sharing, meeting technology, spreadsheet tracking, presentation preparation, and electronic records organization. Experience with Legal Tracker, HighQ, Ironclad, and/or other legal matter management, contract lifecycle management, document management, and e-billing systems is preferred.
